In addition to the administrative tasks listed below, to provide a range of secretarial and administrative services to support the overall running of Albyn School.
This role is full time, permanent, all year round.
37.5. Monday to Friday, 8am to 4.30pm or 8.30am to 5pm (on a rota basis), 1 hour lunch break.
Administrative Tasks
To maintain pupil registers daily, producing listings of late arrivals and absences and contacting parents where necessary.
To ensure, along with other administrative staff, that telephone cover is maintained, messages are delivered and enquiries dealt with appropriately.
Undertake reprographics for the School as directed by the Senior Administrator.
To administer the internal and external mail.
To assist with the production, collation and dispatch of School communications.
To maintain easily accessible and comprehensible office filing systems.
Handle personal enquiries and visitors to the School. To include arranging or confirming meetings with staff and dealing with enquiries and messages from parents, pupils and staff.
To maintain a presentable workspace and tidy office environment.
To order and store general school stationery.
To support the School Leadership Team, HR, Admissions, Events and Finance functions as required.
Person Specification
The successful candidate should be able to demonstrate from their application, at interview or from their references, the following:
A good general level of education plus appropriate further or higher education.
Awareness and understanding of the demands of working in a school and also as part of a small team.
The ability to work independently, show initiative and enjoy challenges.
A high level of courtesy when dealing with staff, pupils, parents and visitors to the School.
An ability to relate well to children of all ages.
Flexibility with regard to working hours. This may include occasional weekends, morning shift or late finish.
An eye for detail and accuracy and be knowledgeable in the use of Google Workspace and Microsoft Office.
Appropriate interpersonal skills when relating to prospective parents, pupils and benefactors.
The need for discretion and the ability to maintain confidentiality with respect to all personal data.
High levels of organisational ability.
Appointment Terms
The position is permanent, full time, all year round.
The salary for the post is 23,647 per annum.
Service is pensionable as a member of the Royal London Pension Scheme.
