Contract: Permanent (following successful probationary period of 12 months)

Salary Type: Support Staff

Salary Details: Grade 6 (9,097.02 - 9,856.68 depending on experience)

Hours of Work: 15 hours per week - term time only (Start and finish times negotiable)

Job/Person Summary



We are looking to appoint an enthusiastic, dedicated, and flexible School Administrator. This is a busy role, supporting the smooth day-to-day running of the school.

The successful candidate must:

? Demonstrate strong communication and interpersonal skills

? Have good GCSE or equivalent qualifications in English and Mathematics.

? Be confident in the use of IT and be open to new learning and development opportunities

? Work effectively as a member of a small team, understanding school roles and responsibilities.

? Relate well to children and adults

? Be able to prioritise work in a busy environment

? Be flexible and enthusiastic

? Be methodical and organised

? Manage and develop systems

? Be a competent and accurate typist

? Understand the importance of diplomacy and confidentiality

? Be able to act on their own initiative

? Be willing to understand and support the school's vision, aims and ethos

? Undertake all necessary training (IT systems, Health and Safety, Safeguarding etc.)

Office Administrative Duties



? Sign in visitors to the school and carry out necessary safety checks (DBS) and inform visitors of correct Health and Safety protocol

? Maintain Arbor MIS

? Maintain records of parent permissions (photographic, school trips etc.)

? Maintain Acceptable Internet Use Agreements

? Maintain an up-to-date record of pupil allergies

? Organise and maintain filing systems (both manually and electronically)

? Keep the school website up to date

? Manage school emails and telephone messages when office administrator is absent

Send out regular newsletters to parents and manage the school social media

Safeguarding Administrative Duties



? Ensure all necessary checks are in place, including DBS checks (the Single Central Record), Safeguarding Certificates, Prevent Certificates, Recruitment and Safeguarding Lead.

Health & Safety Administrative Duties



? Lead and manage Health and Safety in the school

? Maintain the Smartlog online system

? Organise staff H&S training

? Contribute to meeting agendas to keep staff H&S knowledge and awareness up to date

? Liaise with the Headteacher to address H&S concerns promptly

? Prepare for and conduct the annual H&S audit

? Line manage the Caretaker & contractors (e.g. cleaners, grounds management, constructors etc.) and manage appraisals

? Keep H & S training and certification up to date (e.g. Fire Marshall Certification, H&S Management, Legionnaires etc.)

HR Administrative Duties



? Manage contracts

? Keep personnel records and organise files

? Process monthly claims forms

? Process HR forms and liaise with the HR Support Team at the Headteacher's request

? Ensure all new members of staff receive a Staff Handbook and that they are supported through the induction process

General responsibilities



? Take appropriate responsibility for your health, safety and welfare and the health and safety of pupils, visitors, and work colleagues in accordance with the requirements of legislation and adopted policies: including responsibility for raising concerns with the Headteacher or Line Manager.

? Contribute to the overall ethos, work and aims of the school as set out by the Headteacher and be aware of and support difference, ensuring equal opportunities for all.

? Develop constructive relationships and communicate effectively with colleagues, agencies and other stakeholders.

? Be proactive in your own career and professional development

? Undertake any other duties deemed reasonable by the Headteacher

? Be responsible to the Headteacher
