Post: School Administrator (full-time, year-round contract)
Reporting to: Head Teacher
Salary: 22,500 - 24,000 per annum
Hours: 8:30am - 3:30pm, Monday to Friday
Start Date: January 2025
Purpose of the Post
- To ensure the smooth running of the school office and act as the first point of contact for students, parents, and visitors.
- To provide full administrative support to the Head Teacher, teaching staff, and wider school team.
- To project a welcoming, professional image of NexGen Academy at all times.
- To contribute to the school's ethos of care, inclusion, and respect, supporting young people with complex needs.
Key Working Relationships
Outside the school: parents, carers, prospective families, local authority representatives, contractors, and visitors.
Within the school: Head Teacher, teaching staff, pastoral staff, support staff, and students.
Main DutiesGeneral Administration
- Meet and greet visitors, ensuring safeguarding procedures are followed.
- Answer and direct incoming calls, emails, and enquiries promptly and sensitively.
- Process and distribute incoming and outgoing post.
- Maintain up-to-date student, staff, and school records (digital and paper-based).
- Support with the preparation of reports, letters, and official correspondence.
- Assist with data entry and reporting for Arbor, CPOMS, IXL, and other school systems.
Day-to-Day Running of the School
- Help maintain order in communal areas (noticeboards, lost property, displays).
- Support staff with photocopying, resource preparation, and timetables.
- Assist in organising school events such as open days, parent/carer meetings, and student celebration events.
- Support with maintaining safeguarding records (CPOMS) in line with policies.
Finance and Resources
- Support basic finance tasks such as processing invoices, petty cash, and receipts.
- Order stationery, first aid supplies, and other school resources as required.
- Maintain accurate records of purchases and budgets for school events.
Meetings & Communication
- Assist in the organisation of internal and external meetings.
- Take and circulate minutes where required (e.g. staff meetings, safeguarding meetings).
- Prepare newsletters, letters to parents, and other communications.
Student & Family Support
- Act as a welcoming and supportive contact for parents and carers.
- Support attendance monitoring, follow up on absences, and liaise with parents/carers where needed.
- Work closely with staff to ensure students' needs are met in line with the school's ethos.
Person SpecificationEssential
- At least one year of administrative experience.
- Strong ICT skills (Microsoft Office; experience with MIS such as Arbor desirable).
- Excellent communication and interpersonal skills.
- Ability to multitask, prioritise and work under pressure in a small busy school.
- Friendly, professional manner with students, staff, and visitors.
- Commitment to safeguarding and equal opportunities.
Desirable
- Experience working in a school or with young people with additional needs.
- Experience of CPOMS, Arbor, or similar school systems.
- Minute-taking skills.
- First Aid training.
- Understanding of SEND and safeguarding in education.
