Receptionist/ Primary administrator Location - B42 Salary - to be discussed Hours - school hours role of Primary Administrator is making sure the Front Offices are run smoothly and professionally by providing support to all visitors and staff so that each School is a safe and welcoming environment for children, staff, parents/ carers and visitors. You will provide organisational and administrative support to the school community. You will have responsibility for managing your workload independently under the general direction of the Schools Operations Manager. The post holder will be expected to act as a role model to all students upholding the school values, and at all times promoting the safety and welfare of young people in accordance with school policy. Schools desires: An experienced Administrator with proven MS Office and Google knowledge and excellent communication, organisational and multitasking abilities. Good standard of education with relevant experience in a similar role. Knowledge of SIMs, PSF. Person Specification A \'can do\' outcome focused attitude and approach, resourceful and works to make things happen taking others along with them A relentless drive to improve performance and deliver outstanding results through new, innovative and more effective ways of working Excellent communication skills, works effectively within a team, see the potential in others and understands the impact of their actions on colleagues A proactive approach to work and problem solving, and the ability to spot and deal with issues as they occur A high level of personal integrity, who displays respect and empathy for others and is consistent, open and honest The ability to be able to multitask in an effective and conscientious way Being able to say \'no\' when the necessity arises due to capacity Good working knowledge of IT software, such as Google, Excel, Word, PowerPoint Responsibilities Work collaboratively with the School Operations Manager and Head teacher (as well as any other key stakeholders) to make sure the Front Office and School site is run to a high standard, providing excellent client-facing communication and problem solving Meet and greet all visitors, making sure the appropriate safeguarding processes are adhered to Be first point of contact by telephone and email on behalf of the Primary School, making sure to respond and pass on messages in a timely manner General school administration including (but not limited to) school meal provision (including free school meal vouchers), admissions process and waiting list for school places, letter and newsletter drafting, database entry and system management, minute taking, diary management and internal meeting room organisation, collection and distribution of mail, dealing with lost property, stock ordering (including first aid) as well as maintaining a clean, organised Front Office and any other communal spaces (e.g. photocopying spaces, meeting rooms and staff rooms) Take the lead in managing the administration of the Single Central Record, making sure that the record is maintained and all associated documentation is correct, in date and compliant at all times Support with School recruitment specifically interview arrangements and reference checks, and be responsible for ensuring the Safer Recruitment Checks are completed prior to any new starter joining Provide new starters with a welcome induction, taking direction from and collaborating with, the School Operations Manager and Head teacher (as well as any other key stakeholders) Maintain the SIMS database, specifically making sure that contact records including pupils, parents/ carers, staff and Trustees are up to date and new or leaving pupils are recorded correctly as well as any reports as required by the School or Trust Support the Designated Safeguarding Leads & SENCo with any required administrative tasks and diary arrangement with both internal and external parties Support with School Finance tasks including processing invoices through the relevant system, payroll & overtime in line with Finance-driven timescales Support the School Operations Manager and Head teacher with the development, organisation and administration of all trips - including School camps, School performances and any other internal or external events - including (but not limited to) system management, communication to any relevant parties, pricing quotations and attendance Safeguard and promote the welfare of children: This includes:the responsibility to provide a safe environment in which children can learn. To identify children who may be in need of extra help or who are suffering, or are likely to suffer significant harm.
