JOB OVERVIEW



An exciting opportunity has arisen for an outstanding and enthusiastic School Secretary to join our dynamic team. You will be part of a supportive and dedicated staff. The School Secretary is responsible for the organisation and smooth running of the school office, ensuring a calm and efficient atmosphere is maintained and that all administrative procedures are correctly followed and effectively co-ordinated.

The successful candidate will need to be a team player, who is always flexible and able to maintain a professional appearance and manner. High levels of written and oral communication skills, ICT and technology skills and excellent attention to detail are key.

Previous experience working in a school is essential.

Knowledge of our management information system, 'Schoolbase', and Google Workspace may be advantageous but full training on the school systems will be provided.

The ability to nurture relationships with both pupils and parents is necessary as is the ability to deal with sensitive information with the utmost discretion, and to maintain confidentiality at all times, is a prerequisite.

Full time: 8.30am-5.00pm

Salary: 25,213 per annum

KEY RESPONSIBILITIES



? Demonstrate good, professional communication skills that allow effective communication with all levels of school staff, pupils, parents and visitors;
? Ensure all necessary documents, registers and fire precautions are carried out in line with the Health and Safety policy during fire drills and emergencies;
? Maintaining accurate pupil registers and following up on any absences;
? Update Pupil Medical Records;
? Update of data onto the School Management System;
? Assist with distribution of post and deliveries;
? Dealing with correspondence, confidential letters and pupil files;
? Maintain good filing systems both manual and online;
? Assist with the organisation of curriculum and extracurricular activities;
? Assist with maintaining the school calendar;
? Booking of school excursions and events, including permission, payment, transport and venues;
? Assist with the administration and organisation of yearly school photographs;
? Assist with the organisation of school and Parent Association events;
? Liaising with local authorities regarding pupil transfers;
? Assist the Headteacher, Senior Management team and Admissions Secretary with clerical support when required.

PERSON SPECIFICATION



The successful candidate will have:

? A background and at least 3 years of working in an school admin role is essential;
? A passion for working with young people and families;
? Ability to work on own initiative and prioritise tasks in an organised manner
? Outstanding telephone manner and personal presentation;
? Professionalism, integrity and the ability to maintain confidentiality and discretion;
? A characterful verbal and written style, embracing efficiency of message with engagement and humour;
? Excellent IT skills, good working knowledge of Office 365 including Word, Excel and Outlook and/or Google Workspace;
? Knowledge of Schoolbase or equivalent school's management information system (MIS);
? Commitment to the caring ethos of the School;
? A calm, fun and approachable nature.
