Role Information
Reporting to the Special Educational Needs Coordinator (SENCO) in Student Services Departments, serves as the central point of contact for the administrative duties associated with the Special Educational Needs and Disabilities (SEND) department. Working under the guidance of SENCO Support Staff and the SENCO, the role will contribute to the coordination, documentation, and monitoring of SEND support for learners across apprenticeships and other funded programmes.
The role supports compliance with SEND legislation, funding requirements, and inspection readiness and expectations, while ensuring learners with additional needs receive timely, appropriate, and well-documented support.
Administrative Support for SEND Provision
Assist with the maintenance of accurate, confidential SEND learner records, including support plans, assessments, and evidence of reasonable adjustments.
Support the enrolment and induction process for learners with identified or emerging SEND needs.
Update the learner management system (MIS) with SEND-related information under supervision.
File, scan, and organise SEND documentation in line with GDPR and organisational policies.
Supporting SENCO and SENCO Support Staff
Provide day-to-day administrative support to the SENCO and SENCO Support Staff.
Assist with scheduling and recording SEND reviews, progress meetings, and annual reviews (where applicable).
Prepare documentation and learner packs for SEND meetings and reviews.
Support follow-up actions from SEND reviews and interventions.
Communication & Coordination
Act as an initial administrative contact for SEND-related queries, referring matters appropriately.
Communicate professionally with learners, parents/carers, tutors, assessors, employers, and external agencies.
Assist in liaising with Local Authorities regarding EHCP documentation and evidence requirements.
Support internal communication to ensure reasonable adjustments are shared with delivery staff.
Compliance, Monitoring & Reporting
Support the monitoring of SEND learner progress, attendance, and interventions.
Assist in preparing reports and data for internal quality reviews and inspections.
Ensure SEND documentation contributes to compliance with Ofsted, DfE, Welsh Government, and internal quality standards.
Support audit and inspection preparation by ensuring records are accurate and up to date.
General Duties
Support the wider Quality or Support Services team as required.
Contribute to continuous improvement of SEND administrative systems and processes.
Carry out other duties as appropriate to the role
What Apprenticeship Training Will You Receive?
The successful applicant will complete and obtain a Level 3 Business Administrator Qualification through Learning Curve Group.
You will be taught through:
4-6 Weekly 1-2-1 Sessions with your tutor
6 weekly hours of Off The Job Training
The course is approx. 14 month long program with 4 extra months in gateway (18 months int otla)
