Job Description

The post holder will provide administrative support to the health and criminal justice professionals working in court and custody suites and provide a link through to interventions



Job Purpose



The post holder will ensure the delivery of a comprehensive high quality secretarial and clinical administrative service to the service manager, clinical lead and clinical team. The post holder plays a central role within the provision of services and is required to exercise initiative, independent judgement and decision making within situations arising from the duties described below to ensure an effective high quality service .



To provide a comprehensive, high quality secretarial and clinical administrative ser vice to the service manager, clinical lead and clinical team , to ensure the general audio typing requirements are met , preparing correspondence, word processing of GP letters, minutes and reports .



Supervise administration staff undertaking appraisals, supervisi on, training and development of band 2 worker.



Support managers with the recruitment process and ensure that newly appointed workers undergo their local and Trust inductions.



To be responsible for dealing with telephone enquiries and other communications with a high degree of tact, diplomacy and confidentiality. Arrange and attend meetings, including booking venues and hospitality if appropriate . To prepare and produce an agenda, collate and distribute all necessary information and documentation, take minutes and action notes as required . Ensure all minutes are issued in a timely manner and ensure agreed actions are appropriately recorded. Provide cover as directed by Line Manager for other members of the team in their absence and assist with their workloads as necessary. Ensure confidentiality is maintained at all times and sharing of information is done in accordance with Trust policies and procedures.

To service team and quarterly board meetings as required , including preparation for, and note taking of meetings.



To deal with complex enquiries, queries and complaints to ensure that these are responded to within Trust Policies and Procedures and to record accurately details of discussions.



To take responsibility for the tracking of clinical records to ensure that records can be located as required , adhering to agreed Trust procedures for the tracking of records, either manual or electronic



Co-ordinate and arrange multi-disciplinary activities (Assessments under the Mental Health Act, CPA's, Case Conferences etc.) with other professionals and agencies.



Provide a high quality first point of contact for all service users and visitors to the service, maintaining a professional and confidential approach at all times.



Undertake secretarial tasks relating the service manager and clinical lead's specialities.



Any other appropriate duties that may be delegated from time to time by Management To conduct Individual Performance Review and Personal Development plans on an annual ba sis for all staff whom are supervised by them . To undertake training and development as identified within these discussions and as indicated by the requirements of the post.



Supervision of team admin support as directed by Admin Manager.



To participate in the induction and training of new/temporary administrative staff .



To participate in the induction of clinical staff to the administrative arrangements of the Team .
