McCloy Consulting is a busy and growing engineering and scientific consultancy practice specialising in water and environmental engineering, with a head office in Mossley Mill, Newtownabbey and branches in Dublin, L'Derry, and Tayside.
The Role
We are inviting applications for the position of Senior Administrator to support our senior management team in the effective administration of the business. This is a permanent position, based primarily at our head office in Mossley Mill, a modern and well-connected location close to rail, bus, and cycle routes.
The role will be a minimum of 30 hours per week, with flexibility available for the right candidate. We are open to discussing part-time or adaptable working patterns within our core operating hours of 9:00am-4:00pm, Monday to Friday.
McCloy Consulting operates a hybrid working model; however, due to the operational nature of this role, a greater proportion of time will be spent in the office, and regular attendance at Mossley Mill will be a key requirement.
Working closely with the Directors and senior management team, the successful candidate will oversee and coordinate administrative functions across the company, manage the administration team, and ensure the smooth operation of business support processes, including financial administration in coordination with the company's external bookkeeper and management accountant.
Duties and Responsibilities
The role will be tailored to the skills and experience of the successful candidate, however it is expected that the role will include:
Oversee day-to-day company administration and ensure efficient operation of administrative systems and processes, including undertaking some of the administrative tasks.
Assist the directors in managing the company's HSEQ (Health, Safety, Environment and Quality) management system, including document control, audit preparation, and maintaining compliance.
Administer company finances in coordination with the external bookkeeper and management accountant, including:
Managing petty cash and small payments.
Raising and processing client invoices and supplier bills.
Monitoring and reconciling incoming and outgoing payments.
Managing debt collection enquiries, reconciling debtor accounts and payment queries.
Supporting preparation of cashflow forecasts and financial summaries.
Coordinate company insurance renewals, professional memberships, and statutory returns.
Manage utilities across our branches.
Supervise and provide mentorship to administrative staff, and assist the management team in ensuring workloads are balanced and team performance is maintained.
Assist with HR-related administrative duties including onboarding and induction, maintaining staff records, and tracking leave and training records.
Support the senior management team in organising company meetings, maintaining records, and coordinating communications.
Liaise with suppliers, service providers, and professional partners as required.
Assist with company communications, tenders, and document formatting to maintain consistency with branding and quality standards.
The Candidate
Essential:
Minimum of 5 years' experience in an office management, senior administrative, or finance administration role.
Familiarity with Xero or equivalent accounting software.
Excellent organisational and time management skills, with a structured and proactive approach.
Demonstrated ability to manage multiple priorities and meet deadlines.
Strong numeracy and financial administration skills.
Excellent written and verbal communication skills and a professional telephone manner.
High attention to detail and accuracy.
Proficient in Microsoft Office 365 (Word, Excel, Outlook) and document management systems (e.g. SharePoint).
Professional, reliable, and discreet when handling sensitive or confidential information.
Desirable:
Experience working within a professional services, engineering, or environmental consultancy environment.
Experience administering ISO 9001, 14001, or 45001 or equivalent management systems.
Experience supporting HR or compliance functions.
Supervisory or team management experience.
