Job summary To centralise the recording and monitoring of all Child and Adult safeguarding within the practice. To ensure all patients aged 5 years and under are invited for their immunisation and that their childhood immunisation programmed is up to date. Oversee significant events and ensure procedures are followed. To assist in other administration areas as needed.
The following are the core responsibilities of the Senior Administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels: Childhood immunisations and registration Registering new-born babies Arranging baby health checks appointment with a doctor and first immunisation appointment with nurse (appointments must be given at 8 weeks of age, in line with public health targets) Book all babies for their immunisations and follow up on those who DNA. Search and recalling patients for immunisations weekly/monthly. Nominated administrative person, responsible for contacting Health Visitors re patients who DNR/DNA.
Review immunisation status for new patients registering with the practice and recall if required. Investigating weekly immunisation list from Child Health. Liaising with nurses regarding catch up campaigns and co-ordinating the campaign as and when required. Liaise with HV regarding registration and deregistration of Under5s/Under16.
Safeguarding Children and Adults administration Safeguarding administrator, arrange all reports, GP information requests, Liaison with HV, CSC and others. Being the admin link for all Safeguarding enquiries and issues. Act as the main point of contact for safeguarding enquires and requests, handling them when appropriate. Attend safeguarding online strategy meetings if clinician unable to attend.
Maintain the partnerships safeguarding case management register and ensure this is kept up to date and accurate at all times. To work with administration to arrange and set up safeguarding meetings as necessary. Support the updating of relevant policies and procedures and suggest improvements where safeguarding practices could be improved and time management savings can be met. To lead on implementing National and local learning, raising awareness of safeguarding and upskilling partnerships clinical and non-clinical teams Undertake other tasks as may reasonably be required by the Safeguarding GP clinical leads.
Reviewing A&E reports under 18s. Highlighting any concerns to Safeguarding clinical lead. Make MARF referrals to the MASH team. Liaise with the CSC team and HVC.
Maintain level 3 in safeguarding children and adult Liaise with the PCN regarding safeguarding issues as well as the practices own safeguarding issues Recall patients on the Learning Disabilities register for their annual review including keeping contact with the patients, managing reminders, DNAs and re-booking. Significant events Review all incoming significant event forms Ensure all staff members follow the significant events procedure. Notify all parties involved of the significant event outcome. Update the significant events spreadsheet and close spreadsheet every quarter Take minutes for the significant events meeting and report to Significant events lead.
Other administration tasks To assist other administration roles covering sickness and annual leave. Assist with any other reasonable requests by the management or partners. Attend Clinical meetings and take accurate minutes. Attend Open Business meeting and take accurate minutes.
Attend Nurses meeting and take accurate minutes.
