Role Summary
We are looking for an experienced Estates Manager located ideally within the North West to join our nationwide team to support with the delivery of the Armed Forces contract due to commence in 2027. Additionally to overseeing this contract, you will be responsible for the management of existing and new estates within Optima Health. You will be required to work between the Manchester office and home, with frequent travel nationwide (There will be flexiblity with the start and finish time and may be required to do overnight stays)
You will take full responsibility for managing the estates life cycle, including lease renewals, tenancy and utilisation tracking, landlord liaison, oversight of rent and rates, and fit out and dilapidation works. You will also collaborate with the Facilities Management team and other key departments on business projects and provide regular updates to key stakeholders on any changes to property arrangements
Main Duties and Responsiblities:
Maintain and manage the tenancy database, ensuring no agreement auto-renews without the correct renewal process.
Monitor key lease dates and proactively lead discussions with key stakeholders, landlords and legal teams to secure favourable terms.
Work with Finance to ensure timely payment of rent, business rates, and service charges.
Provide regular tenancy status updates to relevant internal departments.
Manage site closures, including lease termination, service disconnections, and dilapidation works in line with lease obligations.
Manage contractors to ensure works are delivered on time, to budget, and meet clinical and operational standards.
Track and manage all property and project-related expenditure.
Process landlord-related purchase orders and invoices, ensuring alignment with approved budgets.
Provide regular financial reporting and forecasts to the Head of Estates and Facilities.
Maintain accurate records of tenancy data, lease activity, and site status across the estate.
Keep estates systems and databases updated with relevant property and project information.

Who Are We Looking For?
5+ years experience of managing estates, and overseeing construction of new sites/closures/relocation (Ideally within the healthcare sector)
Strong knowledge of property acquisition, lease management, and disposal processes.
IWFM membership or relevant qualification.
Understanding/experience of facilities management.
Proven track record of managing budgets.
Proficient in MS Word, Excel, Outlook, and FM related systems.
