An exciting opportunity has arisen to join our events department, working across a broad spectrum of events from weddings, conferences to live music concerts. We are looking for a senior events planner who relishes the fast-paced world of events, naturally organised, with keen eye for detail and with a guest first mentality. This role will include regular weekend and evening working.

Role purpose

The Eden Project is a world-renown venue delivering a diverse range of events across the site. This role focuses on the planning and co-ordination of operational resources to ensure that events are successfully delivered clients and guests expectations are exceeded whilst KPIs are met. Attention focused, excellent communicator and proactive team member.

Key accountabilities

1. Represents the Eden Project and the Events Team, consistently delivering the highest standards of customer care to clients and guests. A confident and effective communicator from initial enquiry, throughout planning and event delivery.

2. Coordinates and communicates all relevant event details to internal teams to ensure seamless operational delivery, ensuring service plans and working documents are precise. Oversees event execution and works closely with chefs to plan menus, timings, and accommodate dietary requirements. Ensures all staff are trained and compliant with food safety and allergen handling procedures.

3. Liaises with external suppliers to support efficient event delivery, ensuring profitability is maintained across all events.

4. Supervises the Events Operations Team to ensure high levels of client satisfaction and service throughout event delivery

5. Maintains up-to-date knowledge of the Eden site, event spaces, and their capabilities. Uses a strong understanding of seasonal menus to advise clients and support informed decision-making regarding dietary preferences and restrictions.

6. Ensures food and beverage preparation, presentation, and storage comply with food hygiene and health & safety standards.

7. Manages all aspects of cash handling, including tills and floats, in accordance with Eden's financial procedures. Takes responsibility for resolving any discrepancies in event-related transactions.

8. Leads the effective communication of Eden's seasonal programmes to the Events Team, ensuring all staff are fully briefed and updated. Oversees training and inductions to ensure team members are compliant and confident in their roles.

9. Liaise with the Sales Team-leader and coordinator to ensure that financial records for each event and client is updated and accurate.



Demands of the role

Education & qualifications

A current CIEH Level 3 certificate in Supervising Food Safety in Catering and in Health and Safety in the Workplace is essential for this role. The jobholder is required to have a high standard of literacy.

An NVQ Level 3 qualification in a relevant area foundation degree or higher desirable. A driving license is essential due to the needs of the role to use Eden vehicles to deliver events around site.



Knowledge & skills

The job holder will have gained a minimum of two years' experience within a fast-past events environment, which is to include the supervision of staff. Furthermore, they must have extensive knowledge of hospitality service.



Decision- making

Responsible for making event specific decisions daily including decisions relating to staff deployment and ordering the relevant stock for each event, such decisions are always related to the individual event design and numbers

Complex decisions that need to take into consideration a range of stakeholders including clients, delegates, employees, the site and business partners will be escalated to the line manager or Head of Commercial & Events.



Resourcefulness

Required to input and feed back to the line manager & Head of Commercial & Events to assist in ways to devise innovative and creative ways to improve our own events, client events and the customer journey as well as revenue streams.



People & asset management

Shared responsibility for the security and confidentiality of personal client data stored. Shared responsibility for FOH service team, which varies in size dependent on event. Responsibility for the care and maintenance of event equipment and client's belongings for specific events.



Communication & visitor experience

The job holder is regularly required to engage, communicate and interact with a wide variety of people. This includes internally with colleagues to ensure they are aware of event requirements and externally with clients to liaise regarding event design and event specific suppliers, in addition to event guests, who may have event queries and clients who may have complaints. The job holder is required to be a clear communicator both verbally and in writing.



Operational environment

The role will be varied and will react to event demands. Time will be spent both in the office and site based. Office based work includes, client communications and completion of event requisitions. Site based work will include regular moving of stock, equipment and supplies in addition to event delivery. The job holder maybe required to attend trade shows and wedding fairs at times, which may include overnight stays. Weekend and night working are a regular feature of this role.

The job holder is required to continuously develop their skills through their employment, professional training and in-house workshops. All employees are required to maintain personal health and safety responsibility in line with training provided.
