Position Overview
We are currently looking for a highly organised and experienced Senior Office Administrator to join our scheduling team. This role focuses on the administrative aspects of scheduling and coordinating the day to day flow of work across new, active and completing jobs, combined with general office admin duties. With training and support, you will help plan and coordinate trade schedules across a variety of jobs, including multi trade projects. This position requires a strong background in administration at a senior level, with the ability to take ownership of a busy workload in a fast paced environment, and to pick up new systems and processes with ease. Full training will be given on our scheduling systems.
Responsibilities
With training and support, helping to plan and coordinate trade schedules across a variety of jobs, including multi trade projects
Monitoring job progress and making adjustments where needed to maintain workflow and avoid delays
Reviewing job details and availability to help build workable schedules
Communicating with staff, clients, subcontractors and suppliers
Assisting with calls, enquiries and managing emails and correspondence professionally
Tracking jobs and keeping customers updated on progress
Confirming appointments and gathering information where needed
Keeping accurate records of job details and any changes
Participating actively in team meetings to discuss ongoing projects, challenges, and improvements to scheduling processes
Working closely with the Lead Coordinator and other team members
Daily deadlines must be met and some overtime may be required
Qualifications
Strong background in administration at a senior level
Well organised and able to manage multiple tasks
Clear and confident communication skills
Able to prioritise and adapt in a fast paced environment
Good computer skills and a willingness to learn
