Senior Office Administrator

to join our team and help us manage key aspects of our business operations.

Role Overview:



We are seeking an experienced Senior Office Administrator who can take charge of administrative tasks while playing a vital role in managing sales, stock, orders, processing, and invoicing. The ideal candidate will also be responsible for building strong relationships with customers, ensuring alignment with our core values of equality, inclusivity, accessibility, and fun. This role requires someone highly organised, self-motivated, and skilled at multitasking, with a passion for helping us grow our mission to make sports accessible for everyone.

Key Responsibilities:



Sales Management

: Oversee day-to-day sales operations, ensuring accurate processing of orders and timely follow-ups with customers and warehouse Develop and nurture strong relationships with both retail and wholesale customers to understand their needs and encourage repeat business Monitor, manage and develop sales pipelines, identifying opportunities for business growth and customer outreach Receive customer orders and enter onto Shopify to ensure accurate record of orders Update any social media platform to ensure exposure and visibility to potential customers

Invoicing & Financial Administration

:

Manage the end-to-end invoicing process, including generating, sending, and following up on invoices Create invoices for customers in Xero Enter completed invoices following confirmed collection into factoring company system ensuring accurate recording of despatches and updating sales ledger Ensure accuracy in billing and payments, keeping detailed records of all financial transactions Assist with credit control as and when required Work with the finance team to reconcile accounts, track expenses, and provide accurate financial reports Ensure all source documents are filed appropriately to ensure a full audit trail for audit purposes

Stock Orders & Inventory Management

:

Monitor stock levels, ensuring timely and accurate reordering of products Assist with management of relationships with suppliers to maintain strong supply chains Liaise with warehouse to ensure the orders are provided to them before agreed cut off for rapid order fulfilment Ensure stock reporting is up to date daily Track and optimise stock movement between multiple locations to avoid shortages or excesses

Customer Relationship Management

:

Act as the first point of contact for customer enquiries, providing excellent customer service via phone, email, or in person Build strong, long-term relationships with wholesale and retail clients, including but not limited to schools, charities, rehabilitation centres, care homes, and community centres Ensure that customer feedback is captured and addressed to improve product offerings and services Deal with supplier queries as and when they arise

Office Administration

:

Provide administrative support to the leadership team, handling scheduling, communication, and other general office tasks Maintain accurate and up-to-date records, ensuring compliance with company policies Compile policy processes, work instructions and controls as and when identified and required Provide frequent communication to the leadership team, ensuring high levels of governance and assurance

Skills & Experience:



Essential



Proven experience in an administrative role, ideally in a small to medium-sized business or growing company Experience managing sales, invoicing, and stock orders Strong communication and interpersonal skills, with the ability to build relationships and align customer needs with our mission Exceptional organisational skills and attention to detail Proficiency in office software (e.g. MS Office, Xero etc) Ability to work independently as well as part of a team, prioritize tasks, and manage multiple projects at once Can do approach, with passion and a commitment to New Age Sports values of equality, diversity and inclusion

Desirable



Experience with Shopify and WooCommerce Awareness and keen interest in digital marketing tools Training to NVQ level in office administration and/ or finance
