The Role

We are actively seeking an experienced Service Administrator (Diary Controller) to join our Service Desk Team, based in Kirkcaldy, at Enterprise Centre, Myregormie Place, Kirkcaldy, Fife KY1 3PF
This position plays an integral part in the delivery of great customer service to our extensive client base. As one of Scotland's busiest reactive and preventative service companies, we are looking for a highly organised individual who thrives in a fast-paced environment, can adapt to schedule changes throughout the day and who can confidently liaise with the engineering team and customers in a professional manner.
Prior diary management experience would be preferred and advantageous for this role, although applications with other relevant experience and transferrable skills will be considered.
Specific Duties & Responsibilities
Daily management of the engineering diary
Scheduling jobs for a team of approximately 15 maintenance engineers
Ensure that all engineers have a full schedule of work each day
Ensure access is available for all scheduled jobs by liaising directly with the customer
Take responsibility for maintaining an appropriate level of knowledge on the services the company provides
Organise preventative maintenance visits for our extensive customer base
Ensure all jobs are scheduled correctly with the relevant processes being followed. This includes ensuring that the correct information is provided to the engineer.
Work with the Management Team to meet monthly maintenance visit targets.
Be the first point of contact for both engineers and customers by answering telephone calls and emails timeously.
Ensure accurate data entry in all office-based systems.
Update clients recorded information when required.
Support other members of the Service Desk team with their workload when required.
Support the wider Customer Service Team with general admin tasks when required to ensure processes and procedures in the office flow efficiently.
Provide an excellent level of care to our customers.
Candidate Specification
Full training will be provided; however, the successful candidate is required to have the following attributes:
Ability to understand schedules with a logical and methodical approach
Exceptional organisation skills particularly in time and diary management
Ability to work under pressure, adapt and multitask where necessary
Ability to prioritise effectively, perform under pressure and adhere to deadlines.
Excellent communication skills, both written and verbal
Strong IT skills with proficiency in Microsoft Office systems

Can use own initiative and seek help when required
Commitment to deliver to meet the needs of the business

Desirable Skills
Prior Diary Management and Customer Management System experience is preferred
Geographical knowledge
Experience in the security/fire industry or other associated building trades
Before commencing employment, the successful candidate will be required to complete the company employee vetting procedure.
Hours
Monday - Friday (9.00am-17:00hrs - 37.5 hours per week)
