Role Summary
To provide rigorous financial management of service charges, utilities, council tax and business rates
Key Responsibilities
Establish and maintain a process for managing property service charges that is compliant with RICS, ARMA, and leasehold regulations
Work closely with property managers to prepare service charge budgets and provide accurate financial reporting
Produce year-end service charge accounts and liaise with auditors as required
Establish and maintain process for management and recharge of utility costs, council tax and business rates
Prepare service charge payments, arrears reports and reconciliations
Handle client queries related to service charges, invoicing, and leaseholder accounts
Key Performance Indicators
Existence of timely, accurate and clear service charge accounts and budgets
Robust process in place for managing utilities, council tax and business rates on change of occupancy
Visibility and interrogation of property spend
Reduction in property holding costs
Well-developed relationships / feedback from stakeholders
Decision Making
Management of own workload
Responsible for developing and delivering processes to ensure robust management of property costs
Ability to make recommendations based on analysis of financial reporting
Complexity
Developing new processes requires knowledge of property regulations and understanding of property software capabilities
Managing multiple properties, regular occupancy changes and filing deadlines at the same time
Liaising with wide range of stakeholders

Required Skills and Qualifications
Experience in service charge accounting within a property environment
Strong knowledge of service charge regulations and leasehold accounting
Proficient in use of Microsoft packages, including Word, Advanced Excel and Outlook
Proficiency in Propman accounting software is preferred
Excellent numerical, analytical, and problem-solving skills
Strong attention to detail and ability to manage multiple accounts
Good communication skills to liaise with property managers, tenants, leaseholders, and external stakeholders
A relevant accounting qualification (AAT, ACCA, CIMA)
