to support the day-to-day operations of our busy and rewarding counselling centre. You'll play a key role in ensuring a smooth experience for clients and counsellors, while keeping our systems and processes running efficiently.
Key Responsibilities:
Act as first point of contact for clients and counsellors via phone, email, and web
Manage client onboarding, progress, and offboarding using our client management system
Schedule consultations and process payments
Support counsellors with contracts, room bookings, and general queries
Maintain accurate financial records and process invoices using Sage 50 and OPAYO
Ensure accurate filing and documentation
Help streamline processes and share knowledge across the team
Attend operational and counsellor meetings (some on weekends)
Oversee office supplies, room maintenance checks, and provide general support to the Centre Manager and Directors
Support internal events, website updates, social media, and reporting
About You:
You are a motivated team player with a passion for helping others and a strong administrative skill set. You'll need:
Excellent customer service and communication skills
Proficiency in Microsoft Office; Sage/OPAYO experience desirable
A detail-oriented and organised approach
Willingness to learn and contribute to a supportive team culture
Desirable:
Experience in the health, wellbeing, or charity sectors; knowledge of counselling; finance or data analysis skills.
