Purpose



To coordinate and support service delivery operations within the Phoenix Dosimetry Ltd (PDL) business unit, ensuring engineers are effectively scheduled, customers are kept informed, and field activity runs smoothly.

This role will also provide business support across logistics, stock management, and administrative tasks, ensuring PDL operations are efficient, compliant, and highly responsive.

Key Duties & Responsibilities



Service Coordination



Schedule planned maintenance, breakdowns, and call-outs for service engineers.

Monitor workflows and adjust priorities to meet customer requirements and service SLAs.

Log service jobs on CRM, capture job details, and ensure accurate documentation before closure.

Proactively follow up with engineers to record outcomes, parts usage, and next steps.

Maintain service logs, reports, trackers, and compliance records.

Customer & Engineer Communication



Act as first point of contact for service queries.

Confirm ETAs, site access requirements, and safety information.

Provide proactive updates to customers and internal teams on job progress.

Ensure engineers have the correct job details, permits, and site information.

Stock, Spares & Logistics Support



Maintain PDL stock levels, consumables, and service & manufacturing parts.

Log and track stock usage; manage replenishment requests.

Raise purchase requests for parts, tools, and equipment.

Coordinate shipping, delivery, and collection of parts and radiation equipment.

Work with suppliers and logistics providers to ensure timely dispatch.

Business Administration



Maintain PDL service and operational documentation.

Support reporting for service performance, stock levels, and operational KPIs.

Coordinate travel, accommodation and vehicle-related bookings where required.

Assist with general operational and administrative duties to support the PDL team.

Liaise with Group support functions (Sales, manufacturing, HR, Finance and EHSQ) as needed.

Key Skills and Competencies



Strong organisational and Planning skills with meticulous attention to detail.

Excellent verbal and written communication skills, with the ability to engage effectively at all levels.

Demonstrated ability to manage customer interactions with professionalism, diplomacy, and urgency.

Excellent communication and customer service approach.

High level of proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience in the use of databases.

Analytical and problem-solving skills with a proactive and solution-focused approach.

Professional, resilient, and adaptable with a commitment to continuous improvement.

Highly proficient at task prioritisation and capable of completing a wide variety of tasks simultaneously

Ability to work in a high pressure environment

Experience



Essential



Previous experience in service coordination, logistics support, and/or operational administration.

Experience managing schedules, customer communication, and/or stock processes.

Desirable



Field-service, engineering, or technical services environment experience.

Experience with CRM, field service software / job management systems.

Job Types: Permanent, Full-time

Pay: 28,000.00-30,000.00 per year
