About the role:



We're looking for a Shared Services Administrator to predominantly support our Diagnostic World shared services team. This is a part-time permanent position, working remotely.

This role is focussed on providing administrative support across the companies shared services functions and will have exposure to a wide range of company functions and processes.

Your time would be split primarily between the finance, quality and HR teams; however, this may change depending on the needs of the company.

Finance

To provide support to the Finance Coordinator and assist with general administration requests. Process Purchase Invoices as per procedure including contractors and employee expenses. Process expenses and chase for approval from line managers. Resolve supplier queries. Support with monitoring the finance inbox and ensure that all requests and queries are actioned correctly. Reviewing supplier accounts to ensure they are up to date and accurate. Process clinic worksheets and capture data on central documents.
HR

To provide support to the HR Coordinator and assist with general administration requests. Support with monitoring the HR inbox and ensure that all requests and queries are actioned correctly. Support with adding new job ads to approved job boards. Support with administering changes to the companies HR systems including starter and leavers. Support with pre-employment checks such as DBS and Right to Work.
Quality

To provide support to the Quality Coordinator and assist with general administration requests. Support with preparing data for clinical auditors. Record QA tickets and chase for outstanding responses. Appropriate escalation and hand off to senior management with complaints, incidents, and safeguarding events. Support with monitoring the quality inbox and ensure that all requests and queries are actioned correctly. Support with preparation for external quality audits (ISO, BSE, CQC).

Qualifications



Proficient in Microsoft Office and Google Suite applications Previous administrative and clerical experience Excellent phone etiquette and communication skills Well-organized with effective organizational abilities Familiarity with QuickBooks and office environments

Within our service offering, we provide General and Musculoskeletal Ultrasound to patients across the Midlands & South-East on a referred and self-referred basis.

Pay: 12.21 per hour
