Job Title: Site Assistant - Storage Facility

Reports to: Head of Operations

Job Overview:



We are seeking a reliable and proactive Site Assistant to support the day-to-day operations of our storage facility. The successful candidate will play a key role in delivering excellent customer service, maintaining site standards, and ensuring the smooth and secure running of the premises. This is a hands-on role requiring a mix of administrative capability, customer engagement, and light maintenance duties.

Key Responsibilities:



Standard Site Duties (HJ and General):

Provide on-site support and assistance to customers.

Conduct regular checks of units and communal areas.

Report and follow up on maintenance issues and incidents.

Ensure compliance with all site health, safety, and security policies.

Maintain a clearly structured daily diary outlining responsibilities, targets, and time allocations for each duty.

HJ-Specific Responsibilities:



Make and receive calls for Ancillary Services (AS) bookings, viewings, and general enquiries.

Provide administrative support via HubSpot, including tracking leads and assisting with contract renewals.

Undertake minor maintenance tasks and cleaning of communal areas as required. Candidate must be comfortable completing light cleaning duties to maintain hygiene standards.

Operational & Administrative Tasks:



Operate and maintain the SpaceManager (storage management software).

Process all move-ins and move-outs, creating and closing contracts.

Update tenant accounts with payments received and generate invoices/receipts.

Monitor arrears, chase overdue accounts via phone and email, and apply late fees where applicable.

Overlock units when necessary and arrange for unit access once outstanding balances are cleared.

Produce periodic occupancy and revenue reports for internal management review.

Site & Facility Support:



Liaise with external service providers (e.g., waste management, electricity, parking management) to coordinate services and resolve site-related issues.

Perform periodic groundskeeping and light gardening tasks, including trimming overgrown trees near parking areas and studio units.

Take and log regular utility meter readings (electricity, water, and gas) and report figures to management for accurate billing and monitoring.

Conduct litter picking and ensure tenant waste is promptly removed to maintain site presentation and safety.

Skills & Experience:



Excellent communication skills, both written and verbal.

Proficient in administrative systems and CRM platforms (e.g., HubSpot).

Familiarity with property or facility management software (e.g., SpaceManager) is advantageous.

Comfortable with light manual labour and cleaning duties.

Strong organisational skills with the ability to work independently and maintain a structured routine.

Previous experience in customer service, administration, or facilities support is preferred.

Working Hours:



Monday to Friday: 10:00 AM - 5:30 PM

Sunday: 10:00 AM - 2:00 PM

Job Type: Full-time

Pay: 20,000.00-25,000.00 per year
