Reports to: Head of Operations


Location: Northampton


Hours: 42.5 hours per week


Shift pattern: 5 days per week, 8.5 hours per day with 30 mins unpaid lunch, scheduled either Sunday to Thursday or Monday to Friday, between the hours of 7am and 7pm


About The Role:


We're looking for a dynamic and driven Site Operations Manager to join us at our brand-new Healthxchange site. This is an exciting opportunity to be part of a new team from day one - shaping the operational setup, building strong processes, and leading the daily activity across logistics and distribution.


In this role, you'll be at the heart of our operation, ensuring the site runs safely, efficiently, and in full compliance with Health & Safety regulations and Good Distribution Practice (GDP). You'll work closely with the Pharmacy Manager to ensure seamless cross-collaboration between operational and pharmacy functions. Your leadership will be key to building a high-performing, fully compliant operation right from the start.

Responsibilities:


Supply Chain Management:


Responsible for the operational effectiveness of inbound & outbound supply chain, ensuring timely and accurate delivery of goods
Responsible for the safe and efficient movement of goods between operational sites, adjusting logistics processes and transportation to meet demand and regulatory requirements
Continuously evaluate appropriate supply chain solutions and partners to optimise supply chain operations
Working in close collaboration with the Operations Team Leads, responsible for the safe, compliant storage and movement of product
Continuously review and improve supply chain processes to enhance efficiency, reduce lead times, and improve overall operational effectiveness and costs
Implement best practices and lean methodologies to streamline operations and minimise waste
Develop and maintain relevant supply chain reports and performance metrics to track key indicators, like on-time delivery, inventory accuracy, and transportation costs


Health & Safety Management:


Manage health and safety policies and procedures in compliance with national regulations
Conduct regular safety audits and risk assessments to identify hazards and recommend corrective actions
Provide training and support to employees on health and safety practices and emergency response procedures
Investigate accidents and incidents, preparing reports and recommendations to prevent recurrence
Ensure compliance with all applicable health, safety, and environmental regulations
Prepare and submit reports to regulatory agencies as required
Stay updated on relevant health and safety regulations and industry standards


Facilities Management:


Oversee the maintenance, repair, and security of company facilities and equipment
Manage relationships with vendors and service providers for facility-related services, ensuring quality and cost-effectiveness
Coordinate space planning and utilization, including office layouts and workstation setups
Monitor facility-related budgets, expenditures, and inventory
Building and maintaining relationships with approved and validated Vendors


Leadership and Management:


Lead, mentor, and develop the site operations team, fostering a high-performance and continuous-improvement culture.
Provide hands-on leadership during daily operations, ensuring teams are aligned, informed, and working effectively.
Build a positive, collaborative, and accountable working environment that supports employee engagement and retention.
Oversee workforce planning, including recruitment, scheduling, and resource allocation to meet operational needs.
Work closely with the Pharmacy Manager to ensure seamless cross-collaboration between operational and pharmacy functions, supporting aligned workflows, shared goals, and a smooth end-to-end service.


Requirements:


Batchelors degree in Logistics / Supply Chain Management /Pharmaceutical Science /Business Administration or a related field (preferred)
Minimum of 5 years' experience in a facilities and health & safety management environment
Experience of working in a GDP regulated pharmaceutical environment
Demonstrated experience leading, managing, and developing teams in a fast-paced operational environment
Excellent organisational and project management skills
Effective communication and interpersonal skills
Certification in health and safety (e.g., NEBOSH, OSHA) is preferred
Proficient in Microsoft Office Suite and facilities management software
