Clinic Coordinator
to join our team and ensure every client enjoys a seamless, five-star experience from first enquiry to post-treatment follow-up.
Working closely with the Clinic Director and skin specialists, you'll be the key link between clients, therapists, and management -- combining excellent organisation with a genuine commitment to client care and team wellbeing. This role suits someone who enjoys variety, takes pride in structure, and brings calm, positive energy to a busy clinic.
Key Responsibilities
Client Care & Front of House
Welcome clients in person, online, and by phone - delivering warm, knowledgeable, and professional support.
Maintain a polished, professional reception area that reflects our clinic standards.
Confidently discuss treatment options and homecare, encouraging rebooking, courses, and retail product sales in line with client needs.
Appointment & Diary Management
Manage bookings, confirmations, cancellations, and therapist schedules using our clinic software.
Support clients through consultations, payments, and post-treatment communication.
Maintain accurate client records in line with GDPR.
Stock, Marketing & Team Support
Monitor stock levels, place orders, and liaise with suppliers to keep the clinic well supplied.
Assist with social media, marketing campaigns, seasonal promotions, and event coordination.
Support HR administration including staff rotas, annual leave tracking, and accurate record keeping.
Help maintain a positive, professional, and well-organised team culture.
Qualifications
Experience in front-of-house, administration, or coordination (ideally within a skin, aesthetics, or healthcare environment).
Strong communication and organisational skills with a client-centred approach.
Proficient in clinic management or CRM systems, with strong attention to detail
Professional appearance, positive attitude, and an interest in skincare and wellbeing.
