Reports to: Spares Fulfilment Manager
Purpose of role: The Spares Fulfilment Coordinator shall serve as the focal point for all matters regarding the timely provision of spare parts (and tools) worldwide to satisfy Jankel\'s military, civilian and internal customers. The Spares Fulfilment Coordinator is a customer facing role.
Spare parts demands occur in the following ways:

  • via a purchase order from a Jankel equipment owner or operator
  • via a purchase order from an approved repairer
  • as a result of a warranty claim
  • in support of a Jankel project
  • though existing or future supply agreements
  • via the Jankel Support Services Customer Support team
The role requires the individual to become expert in the through life spares requirements of Jankel customers and Jankel product sets.
The Spares Fulfilment Coordinator will work closely with the Spares Fulfilment Coordinator (Build to Print) and shall act as the deputy Spares Fulfilment Manager when called upon to do so.
Office Base: Shepperton, Surrey
Requirement for occasional travel in the UK and Overseas

Specific Responsibilities

Together with exemplary attention to detail, a thorough, conscientious "hands on" approach and the flexibility to adapt to changing requirements, the Spares Fulfilment Coordinator shall act in accordance with the delegated authorisation limit of the role and be responsible for:
  • Delivering commercial quotations / bid / tender response with respect to spare parts supply (including Build to Print parts with assistance of the Spares Fulfilment Coordinator (Build to Print)).
  • Ensuring all spare parts sales are quoted in accordance with contractual requirements and/or annually agreed margin.
  • Raising part demands (for processing by the company Purchasing Team or the Spares Fulfilment Coordinator (Build to Print)) in response to the specific demand.
  • Administering (in accordance with the terms of the purchase order, contract or supply agreement) and expediting (by liaison with the internal supply point) spare part demands.
  • Ensuring appropriate parts labelling and arranging dispatch / delivery of spare parts both from SAP and physically.
  • Swiftly resolving delivery issues and customer spares parts rejection.
  • Assisting Accounts department with customer payment issues.
  • Maintaining expert knowledge of the terms of any applicable contract or supply agreement (where one is in place) and customer specific pricing.
  • Providing an excellent service to internal and external customers on a daily basis and in a timely manner.
  • Ensuring all customers\' needs and requirements for parts are met and having the foresight to see additional sales opportunities.
  • Monitoring stock and providing recommendations to the Spares Fulfilment Manager for the range and scale of spares holding of fast moving items.
  • Creating and maintaining spares fulfilment process and procedure.
  • Addressing bulk spares pricing requirements in association with the Spares Fulfilment Manager and Support Services Development Manager.
  • Monthly reporting to the Spares Fulfilment Manager.

Knowledge

The role requires an individual who:
  • Can demonstrate a detailed understanding of the component parts of a vehicle and related specialist systems
  • Has the ability to identify spares parts from parts catalogues and electronic media to address a customer\'s request. Note: Spares definition for legacy Jankel product is a routine challenge and where not clearly identified, definition of a correct spare part shall need to be investigated with, where necessary, the support of the wider Jankel Support Services team.
  • Is able to build and maintain strong relationships with both staff and customers in addition to an enthusiasm to contribute to all areas of the company when required.
  • Is numerate and literate to a level adequate to deal with the demands of the role.
  • Has a keen eye for detail.
  • Has the ability to work with several customers at one time while maintaining individual customer satisfaction.
  • Handles telephone transactions quickly and courteously.
  • Proactively assists customers identify their service, support requirements.
  • Has a flexible approach to work during busier times and when holiday cover is required.
  • Will work in accordance with Jankel\'s ISO 9001 procedures and evolving JSS process.
Experience
  • Minimum 5 years\' experience in a relevant spares fulfilment role.
  • Ability to communicate effectively and articulately at all levels within the business will be essential as well as being a team player
  • Proficient in the use of Microsoft office tools
  • Experienced SAP user.
  • Familiarity with military, government and NGO customer processes and administration
