About this role:



The Stock Controller & Admin Support is responsible for the accuracy, integrity, and compliance of all stock movements within the Public Catering & Logistics department. Using the Kappture system and supporting administrative processes, the role ensures that stock, compliance records, and departmental communication are effectively managed. By safeguarding revenue, reducing waste, and supporting managers with admin tasks, this role underpins the operational efficiency of the department.

Responsibilities:



Stock Control (via Kappture)



Monitor & action stock across all catering and logistics areas through Kappture. Process transfer requests and requisitions in the system. Place and track orders in line with operational needs. Conduct regular stocktakes and investigate variances promptly. Record wastage, staff consumption, and transfers in line with club policy. Maintain secure and compliant storage standards.

Administration & Reporting



Maintain matchday paperwork with accurate and up-to-date operational documents. Manage device allocation, control, and tracking for staff across events. Process supplier invoices, delivery notes, and credits accurately. Support preparation of weekly/monthly operational and compliance reports. Maintain HACCP records, audit trails, and safety documentation.

Operational Support



Work with the Logistics Supervisor and Team Leaders to ensure stock is delivered to the right areas on time. Support non-matchday preparation and post-event breakdown through accurate issue and tracking of stock. Liaise with suppliers regarding delivery timings, shortages, or quality issues.

Compliance & Standards



Uphold financial, health & safety, and compliance standards at all times. Report hazards, theft, loss, or non-compliance promptly to management. Ensure restricted stock areas are secure and accessed only by authorised staff. Other duties and responsibilities as required by line manager Upholding and promoting the Club's policies and procedures, including Health and Safety, Safeguarding and Equal Opportunities policies and procedures.

Experience, Skills and Qualifications:



Key Attributes:



Highly organised and detail-oriented. Reliable, trustworthy, and accountable. Strong communicator, confident with systems and numbers. Able to work independently and meet deadlines.

Essential:



Experience in stock control, administration, or finance support. IT literacy, including Excel and stock management systems (Kappture preferred). Strong numeracy and attention to detail. Flexibility to work evenings, weekends, and matchdays.

Desirable:



Previous experience in hospitality, catering, or stadium operations. Familiarity with EPOS and procurement systems. Experience in audit, compliance, or process management.
