Job Description

We have an exciting opportunity to join our Student Communities Team on a fixed-term contract in the role of Student Communities Team Administrator.




The successful candidate will be responsible for supporting the Student Communities team in delivering an excellent service to the University of Hull students through administrative support, in particular, but not exclusively supporting student sports activity




This is a fixed-term position, expected to run until 31st July 2026.

Hull University Students' Union is a Charity, with a large Commercial subsidiary; our primary purposes are:


Advancement of education, promoting the interests and welfare of students during study and representing, supporting and advising students. Being the recognised representative channel between students and the University of Hull and other representative bodies. Providing social, cultural sporting, recreational activities, and forums for discussions and debate for the personal development of its students.

Our Commercial Subsidiary provides a range of services for students including, a Supermarket, a pub, a nightclub, coffee and food outlets.

About the Role




Responsibilities




Service delivery




Note-taking in meetings, including complaints investigations, disciplinary panels and Student Communities councils



Booking transport for student activities



To provide administrative support to student groups, such as finances, trip packs and training and document information


To provide administrative support including transport and venue bookings for key Student Communities events such as Varsity, Freshers Week, Accommodation Fair and Awards and Celebration events.



To record and track membership numbers using Microsoft Excel.


To support the Student Communities team with auditing equipment belonging to student-led clubs, societies, volunteer projects and support networks to help ensure activities are safe, inclusive and accessible.


To use creativity and new approaches to solve problems and generate improvements to the student and volunteer experience.


To draft correspondence as and when required.


Act as a key point of contact for the Student Communities team by maintaining strong communication when dealing with student enquiries by phone, email, and in person.


Assist the student communities team in conducting research with students to co-produce the student communities programme throughout the year.

Reporting and information management




Effectively use the Students' Union's CRM (SUMS) to enhance the delivery of student community work in line with the organisation's strategic aims.


Conduct ongoing evaluation and monitoring of the student communities programme, including data such as participant feedback, ticket sales, attendance numbers, and demographic breakdown, to drive service development and improvement.


To ensure accurate records are kept, required submissions and decisions are carried out, and reporting is undertaken within the appropriate timescales.


Collate, analyse and prepare information for reports, documents and presentations when required

Team working




From time to time, as a member of the Membership Services Team, the post holder may occasionally be required to support the work of colleagues within the wider team or across HUSU for joint events and activities. These might include, for example, Freshers Week, Varsity, Elections, Celebration and Award Events, Open days, and training sessions.


Work as part of a team to cover colleagues if absent for any reason to ensure the continued delivery of activities across all areas of Membership Services.


General duties and responsibilities




Ensure confidentiality at all times in handling and disseminating information and data and embedding and implementing GDPR across the workload.


Carry out all duties in accordance with HUSU's policies and with the organisation's values and strategic aims.


Ensure the Health and Safety policies and procedures are always followed.


Maintain an awareness of issues and practice in Students' Unions nationally to build on good practice and identify trends, innovation, and development opportunities. Make connections and network with colleagues across the UK and internationally.


Carry out any other duties as may be required from time to time under the overall scope of the role.
