Role
Ringfenced to LJMU students and graduates.

The department of Student Recruitment Marketing and Admissions is responsible for the marketing and recruitment of undergraduate and postgraduate students to home targets; delivering a customer-focused home and international admissions experience; and supporting the university\'s access strategy and successful participation in higher education.

The role will involve providing efficient and effective administrative and operational support to the Director of Student Recruitment Marketing and Admissions and the wider management team.

The role is a full time position (35 hours per week) and fixed term until approximately December 2023.

Duties and responsibilities
Support the efficient management of the Director\'s diary respond to enquries and manage messages for the Director. Where appropriate compose communications on behalf of the Director. Be the first point of contact in the Director\'s absence and direct any matters to the most appropriate person. Arrange logistics for meetings including room bookings, catering and equipment. Produce agendas, take minutes and circulate papers for a variety of meetings related to Student Recruitment Marketing and Admissions. The post holder is secretary to the University\'s Recruitment Policy Panel and the Recruitment and Admissions Working Group in addition to Student Recruitment Marketing and Admissions Management Team Meetings. Maintain the action log for all meetings and monitor and follow-up progress of the actions with members. Organise travel and accommodation for the Director and management team in line with university policy and procedures maintain systems for the department that will enable quick and easy retrieval of documents upon request including Share point sites and Microsoft Teams groups. Manage the record of sickness and absenteeism for the department. Manage and maintain e-based contact lists to be used for external and internal communications for the department. Financial administration and monitoring in accordance with LJMU\'s financial regulations, including raising purchase orders on I-buy, maintaining records and dealing with with routine queries. Induct new members of staff to the department on policies and administrative procedures and processes. General office management for the department. Assist with student recruitment face to face and virtual events, for example Open Days. Work collaboratively with administrative colleagues in Student Recruitment Marketing and Admissions to provide cover and support to the wider team where required. Undertake ad hoc administrative projects for the Director and management team where required. Any other duties commensurate with the grade as deemed appropriate by the Director of Student Recruitment Marketing and Admissions.

Skills and experience
Educated to degree level. Experience of minute-taking. Experience of providing high level administrative and operational support to staff in senior management roles. Experience of working with a wide range of people at all levels within an organisation. Experience of dealing discretely with confidential and sensitive information. IT competent with proficiency in the use of Microsoft Office. Excellent written and verbal communication skills. Strong organisational skills and the ability to prioritise work effectively and work to deadlines. Attention to detail and accuracy. Numeracy skills. Able to work independently and as part of a team. Able to work flexibly including weekends. A commitment to continuous improvement and a willingness to undertake further training when required. Commitment to equality and diversity and cultural awareness and sensitivity. Experience of working in higher education. Experience of financial administration.
