Studio/Office Coordinator Role:

At Bradley Murphy Design (BMD), we're looking for a Studio Coordinator who thrives in a busy, hands-on environment. You will be the person who keeps the studio organised, supports our team and ensures our projects run efficiently.

This is a varied and engaging role where you will take ownership of administration, IT coordination and facilities management. You will have direct interaction with our Practice Manager, Finance Manager and Team Leaders, gaining exposure to a creative and fast-paced design environment. This role offers real variety, responsibility and the chance to help shape how our studio runs.

This is full time, office-based position working 9am-5pm Monday-Friday.

Specialising in the creation of people-focussed, sustainable landscapes, open spaces & public realm, we've developed an impressive portfolio of clients and projects from across both the public & private sector.

Key Role Responsibilities:



Admin & Studio Support

Cultivate relationships with all staff to contribute to a positive studio culture.

Act as a point of contact for staff queries and studio needs.

Supporting Practice Manager with team whereabouts and BMD scheduling

Coordination of team calendar, annual leave, birthdays, and milestones.

Maintain info@ shared email accounts, responding/distribute quires as required.

Assisting the Practice Manager in maintaining and improving studio systems, workflows, and audit documentation as required.

Update the BMD Hub with internal announcements.

Partner with Team and Project Leads to monitor project caseloads, resourcing, and team capacity.

Coordinate project agreement documentation, liaising with external legal and insurance advisers.

Maintain and update Client Relationship Management (CRM) system

Support Practice Manager with recruitment: job advertising, interview scheduling and response tracking.

Support onboarding processes and welcome packs/requirements.

Maintain and update staff records including training logs, appraisals, LISS/CSCS cards, and compliance documents including car insurance, driving license checks

Lead organisational requirements for travel and accommodation for staff as needed.

Lead organisational requirements for event bookings.

Distribute and collect post; handle deliveries and outgoing mail.

Organising staff socials, CPD sessions, and study tours.

Supporting Practice Manager and the Lead Associate: Leading Social Committee efforts

Supporting Practice Manager and the Lead Associate: maintaining university outreach and Community Impact

Supporting Finance Manager: with debt collection calls

Supporting Finance Manager: working inline with pre-agreed budget allowances

IT Coordination

Liaise with external IT support (e.g., A. Crabtree) to help resolve day-to-day technical issues.

Manage licenses, subscriptions, and external renewals, preparing quotes and coordinating renewals with Finance and Practice Manager.

Maintain an accurate inventory of IT hardware and software allocations.

Support coordination of hardware procurement

Support Practice Manager and Finance Manager with asset tracking and depreciation.

Supporting Practice Manager and the Lead Associate: with innovation development.

Supporting Practice Manager and the Lead Associate: with external marketing communication and updates.

Facilities and Health & Safety

Oversee the office supply stock (kitchen, stationery, milk, fruit) and organise catering for meetings.

Reception: first point of contact, (e.g meet and greeting guest, mainline phone).

Support the Practice Manager in maintaining a safe and healthy studio environment. (e.g. daily spot checks)

Schedule DSE, manual handling, fire marshal training and first aid training (as appropriate); maintain records of attendance and certificates.

Support Practice Manager and Finance Manager with business insurance renewals

Ensure meeting rooms are tidy and set up for use; maintain general studio cleanliness.

Coordinate feedback to cleaning providers, facilities manager and building management.

Supporting Practice Manager with company vehicle lease renewals and maintenance of associated insurance records.

Assist in updating Health and Safety records and support compliance audits as needed.

About You:



An engaging, approachable individual wishing to evolve in a growing and developing practice.

Able to prioritise demands and contribute positively to team dynamics.

Excellent organisation, communication, and problem-solving skills.

Experience in administrative, project or coordination roles, ideally from a creative or built environment background.

Confident in Microsoft Suite and collaborative tools like SharePoint and Teams; knowledge of InDesign and Rapport would be advantageous.

A proactive and approachable team player who is detail-focused and solution-oriented.

Job Types: Full-time, Permanent

Pay: 27,000.00-33,000.00 per year
