The Study Tour Programme Manager is responsible for designing, coordinating, and delivering bespoke educational study tours, academic enrichment programmes, and summer camps for international students. The role requires strong project management abilities, client-facing communication, and the capacity to oversee logistics, operations, and cross-team collaboration. The post-holder will ensure that all programmes meet high educational standards, run smoothly on-site, and provide an exceptional experience for students and clients.
1. Client Consultation
Conduct initial consultations to understand clients' objectives, group profiles, and programme expectations.
Advise clients on suitable academic activities, cultural visits, venues, and service packages.
Provide professional recommendations aligned with client goals, timelines, and budgets.
2. Programme Design & Proposal Development
Lead the design of bespoke educational study tours, academic workshops, and summer camp curricula.
Develop structured programme frameworks, learning objectives, daily schedules, and session content.
Create comprehensive proposals, including itineraries, academic content, budgets, timelines, and logistical plans.
Adjust proposals based on client feedback and finalise programme specifications.
3. Programme Planning & Coordination
Coordinate the full planning cycle for each study tour, including academic sessions, excursions, accommodation, meals, transportation, and staffing.
Allocate responsibilities and create work schedules for internal teams and external partners (tutors, guides, designers, technical staff, caterers, contractors).
Manage communication across all stakeholders to ensure timely delivery of programme components.
4. Venue & Supplier Liaison
Liaise with universities, colleges, hotels, transport providers, and service suppliers to secure arrangements and ensure quality standards.
Confirm all logistical, technical, and operational requirements with venues.
Maintain professional relationships with educational partners and external organisations.
5. Team Building & Staff Development
Recruit, train, and support teaching staff, tour leaders, and operational teams for seasonal programmes.
Conduct staff briefings, allocate responsibilities, and ensure team members understand programme goals.
Promote a collaborative working culture and support team performance review and development.
6. Client Relationship Management
Maintain strong, long-term relationships with clients, partner schools, and agencies.
Provide ongoing communication and support before, during, and after programmes to ensure client satisfaction.
Gather feedback, conduct client review meetings, and implement improvements to enhance service quality.
Develop repeat business opportunities and strengthen client loyalty.
7. Regulatory Compliance & Risk Management
Ensure all programmes comply with Health & Safety, safeguarding, and statutory regulations.
Oversee risk assessments, safeguarding practices, and emergency response procedures.
Monitor quality assurance processes and implement continuous improvements.
8. On-Site Programme Management
Oversee daily programme operations during study tours and camps, including student registration, session management, excursions, and welfare monitoring.
Troubleshoot operational issues and ensure activities run smoothly from setup to completion.
Maintain high levels of client satisfaction and ensure students have a safe, enriching experience.
9. Market Development & Business Growth
Support the development of new study tour products and strategic partnerships.
Conduct market research to identify new client segments, academic themes, and partnership opportunities.
Assist in marketing and promotional activities, including presentations, client outreach, and content development.
Strengthen the company's brand presence within the education and study travel sectors.
Skills, experience and qualifications required:
Bachelor's degree or above in Education, Management, Business, Economics or a related field.
Minimum 3 years of experience in the education sector, preferably within international education, study tours, academic programme coordination, or school consultancy.
Proven experience in designing, delivering, and managing educational programmes, including study tours, academic workshops, and summer camps.
Strong project management capability, with the ability to manage timelines, risks, budgets, and approval processes across internal teams and external partners.
Practical design and marketing skills, with the ability to create, refine, and prepare marketing assets such as flyers, infographics, brochures, and advertisements; solid understanding of layout design, typography, and supplier-ready file preparation.
Ability to work independently and collaboratively, with strong interpersonal skills and a proactive approach to problem-solving.
High proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
Knowledge of both UK and Chinese education systems, cultural expectations, and communication norms, enabling effective programme design and client engagement.
Enhanced DBS check (or international equivalent) required, due to regular contact with students and safeguarding responsibilities.
