Bournemouth University Student's Union are looking for someone to provide student facing support for the running of the SUBU-wide enquiries desk. This role would offer excellent customer service, signposting and a wide general knowledge of the services that SUBU provides. In addition to providing customer service, the role will supply administrative support for the CEO, Director of Operations & Governance as well as the HR /Operations Lead when needed. General office administration duties will also be required such as overseeing equipment sign outs and postal system. The role will also provide support to SUBU's team of student staff such as minor training and Rota management. This role requires excellent communication and relationship building skills, liaising with students and staff internally and externally on a daily basis. A calm and empathetic approach is essential due to the often-fast paced nature of fielding enquires and organisational skills are also key as well as being able to retain information relating to SUBU's services. 12 Hours per week ________________________________________________________________________________________

Key Tasks Communication:



Deliver SUBU's frontline service through face to face, telephone, and email enquiries. This will require an extensive knowledge of what SUBU offers as well as relevant procedures.

Administration:

Email & diary management, providing ad-hoc administrative support to the CEO, Head of Operations & Governance and HR/ Operations Administrator as well as provide support for the wider office including that of a DSE assessor (training provided)Organisation: Ensure a professional and efficient service is offered and that a high level of customer service is always maintained including equipment logs, the postal system and keeping office supplies stocked up.

Advice and Guidance:

Fielding enquiries, signposting and referring students to other services within SUBU and or Bournemouth University.

Key Union Events:

Supporting larger Union events such as Freshers Fayre, Summer Ball, Open Days.

Data & Compliance:

Maintain and ensure all information is secure and behaviour falls under data protection guidelines.

Finance:

Minor financial duties such as cash handling and card payments as well as banking reconciliation.

Engagement:

Encourage student engagement, ensuring that the functions of the Union have a strong presence on campus as well as building rapport with students including supporting student staff.

Sustainability:

Ensuring all reception related duties have the objective of sustainability running through them such as minimal printing and office procurement.

General for all staff:



The principle roles and responsibilities will change from time to time and the post holder is required to undertake any additional duties as deemed appropriate.
Staff must always adopt and endorse the company's Vision and Mission Statement and all supporting policies, across all aspects of the role.
Staff are required to have a Personal Development plan and to participate in training, meetings or conferences considered relevant to their job.
