Assist the Supply Chain Manager with any reasonable requests as required.
Follow the Supply Chain Manager's guidance regarding sourcing or using new/unapproved suppliers.
Purchasing & Stock Management
Place carcass purchase orders (POs) on the SI system.
Download carcass weights, forward them to the Farms Supply Chain Coordinator, and update the "Rolling Intake Weights" sheet.
Review consumable and ingredient stock levels, place POs on Orderwise and SI systems, and order from approved suppliers.
Receipt deliveries into Orderwise stock.
Liaise with Goods-In and Accounts teams regarding delivery discrepancies, escalating to suppliers or the Supply Chain Manager as necessary.
Production & Order Processing
Place weekly production runs on the SI system.
Update and maintain the "Wholesale Orders Placed" sheet.
Amend wholesale order weights on Orderwise sales orders and dispatch orders on the appropriate date.
Liaise with the Supply Chain Manager regarding production timescales for non-stock items before confirming wholesale orders to customers.
Order Processing & Logistics
Accurately process daily customer orders and communicate details across relevant teams.
Input product weights correctly into the system for accurate billing and order fulfilment.
Track and manage orders from entry through to dispatch and delivery, ensuring timely completion.
Coordinate transportation for orders not handled by DPD (e.g., specialist couriers or bulk deliveries).
Prepare and check all necessary Category 3 and traceability paperwork for each order.
Account Management & Customer Service
Act as the primary point of contact for existing wholesale and retail accounts.
Support onboarding and integration of new trade accounts.
Provide exceptional customer service, resolving queries and ensuring account satisfaction.
Assist with invoice queries and debt collection as needed.
Invoicing & Administration
Generate and send invoices accurately and promptly.
Support the Accounts team in monitoring outstanding payments.
Maintain up-to-date records of all customer interactions and transactions.
Quality Assurance Support
Assist the Quality Assurance Manager with administration and system checks, including monitoring the Safety Culture system (details TBC).
Problem Solving & Teamwork
Identify and resolve order or account issues quickly and efficiently.
Work proactively with internal teams (production, dispatch, finance) to ensure seamless operations.
Anticipate and address potential delivery or communication challenges before they escalate.
