About the role
We are looking for a Supply Only Administrative Assistant to support our Supply Only Manager and ensure the smooth running of our client orders. You will write up supply only surveys, prepare quotes and order confirmations, manage the department mailbox and phone line, and maintain accurate client records. The role requires excellent attention to detail, strong organisational skills, and the ability to manage multiple priorities in a fast-paced environment.
Key responsibilities
Support the Supply Only Manager with the daily administration of client enquiries, quotes, and orders
Write up supply only surveys from clients, checking sizes, specifications, and configuration details for PVC-U windows, doors, and composite doors
Prepare and issue quotations, order confirmations, and related documentation
Manage the supply only mailbox and phone line, responding promptly and professionally to client queries
Maintain accurate records in the internal order processing system
Liaise with Production, Despatch, and Transport teams to ensure deadlines and delivery requirements are met
Track workloads, prioritise tasks, and provide updates to management as needed
Produce simple reports on order status and client activity
General office administration, including filing, scanning, and maintaining records
What we are looking for
Previous administration experience in a busy office environment is required
Strong organisational and time management skills
High attention to detail and accuracy in data entry and documentation
Clear and confident communication skills, both verbal and written
Proficiency in Microsoft Office (Word, Excel, Outlook)
Ability to work independently as well as part of a team
Experience in the window and door industry, manufacturing, or supply chain is desirable but not essential.
