We have an excellent opportunity for a full time, experienced and enthusiastic Surgery Support Advisor based in the Glasgow area to support our patients through their cosmetic surgery journey.

This role will require delivering high-quality service, being a brand ambassador for all our products and services. : Surgery Support is responsible for ensuring a seamless patient journey by managing preoperative appointments, video clinics, patient support calls, and various administrative tasks. This role requires excellent organisational skills, attention to detail, and the ability to communicate effectively with patients, surgeons, and support staff.

Key Responsibilities:



Future Booked:



Check all preoperative appointments to ensure patients have attended. Ensure all notes are added to Power Diary.

Video Clinics:



Send emails to surgeons to confirm patients attending the clinic.

Patient Support Calls:



Review previous day bookings and confirm patients have received their confirmation. Ensure all appointments are booked; if not, book them during the call and send confirmation.

Email Communication:



Send three emails to patients confirming all appointments, smoking guidelines, and requesting the MH if not completed.

Balance Calls:



Chase balances and ensure the 7-day critical list is actioned and cleared.

Rescheduled Lists:



Action movements sent to SS immediately. Reschedule all pre/post-op appointments in line with new dates and send confirmation emails to patients. Confirm movements with the ops board.

Courtesy Calls:



Complete courtesy calls 14 days after booking and 7 days prior to surgery to ensure patient satisfaction and address any questions.

Chase Notes/MH:



Contact patients who have not completed the MH and resend the link. Contact clinics to upload missing surgeon notes to Power Diary.

Admission Calls:



Call patients booked into external hospitals to confirm admission details and fasting instructions. Follow up with an email/text.

File Checks:



Check all bookings leading up to surgery to ensure all appointments are attended and files are uploaded to Power Diary.

Inbound Calls:



Answer calls from patients and assist with any questions and queries.

Administrative Support:



Assist SA with booking appointments and sending confirmation emails.

Pull Forwards:



Contact patients to offer earlier surgery dates. Amend all pre and post-op appointments in line with new surgery dates and clear the balance.

Qualifications:



Excellent organizational and multitasking skills.

Strong communication skills, both written and verbal.

Proficiency in using Power Diary or similar systems.

Ability to work independently and as part of a team.

Previous experience in a healthcare or administrative role is preferred

Successful applicants will come from a similar industry i.e. cosmetic/aesthetic/optical/lifestyle, be computer literate and must be able to demonstrate the ability to meet KPIs.

This role is 40 hours per week.

Flexibility is required as the rota will cover late evenings and weekend working.

Due to hours required, this role would be suitable for someone living close to or in central Glasgow.

The successful applicant will be subject to DBS check at enhanced level.

Pay: From 25,396.00 per year
