Are you an experienced administrator who thrives on delivering and coordinating a variety of tasks? As our Assistant, you'll take a key role within a future-focused and busy Talent, Culture and Inclusion team, supporting the smooth running of staff development and learning events across the University.



You will be responsible for the day-to-day administration and coordination of a wide range of projects, development programmes, and events, from staff inductions to large-scale conferences. Acting as the first point of contact for our central staff development programme, MyLearning, you will lead the administration behind our learning delivery, liaising with internal colleagues and external facilitators to ensure seamless operations.



This role is perfect for someone who brings a wealth of previous administration and coordination experience, enjoys working both independently and collaboratively, and thrives in a busy, varied environment where staying one step ahead is key. You'll also have the opportunity to support key initiatives and contribute to continuous improvement of our systems, processes, and digital resources.

About You
This role would suit someone with administrative experience who can manage multiple priorities accurately and with attention to detail. You'll be highly IT literate, confident in Microsoft Office, and experienced in coordinating projects or events. Excellent communication skills and a customer-focused approach are essential, along with a proactive and methodical working style.



As the main contact for the University's central staff development programme, you'll have the technical ability to improve systems and processes. Experience in a busy, customer-facing administrative role and strong organisational skills will help you succeed.


Principal accountabilities
Organise, administer and co-ordinate multiple development events at a time, including ongoing programme of workshops, large conferences and our regular induction events alongside day-to-day administration duties covering aspects such as booking hospitality, car parking, registers, minute taking at meetings and committees etc.

Providing a high-quality customer service to both internal and external customers and colleagues, handling enquiries and responding to requests in line with timescales agreed, via telephone, email or in person. The focal point of contact for the University central staff development programme, MyLearning and the L&D function of MyHub.

Provide complete administrative support for TCI team project work, which includes seeking, researching and interpreting key data, generating reports, managing communication and producing project timelines (e.g. Engagement campaigns, Central Induction, Staff Excellence Awards).

Develop effective working relationships with external and internal facilitators, ensuring up-to-date information is obtained and processed in line with Financial Regulations.

Take an active role in the effective operation and maintenance of office procedures, systems and records, liaising with colleagues, managers and customers, as appropriate. Constantly seeking improvements to processes and procedures and looking for opportunities to learn, develop and share knowledge.

Support and co-ordinate for TCI initiatives, networks and committees e.g. Change Champion, EDI networks, Derby Leader, Talent programmes.

Take a proactive role in developing the HR intranet site. Maintain, review and update information held on the intranet site and HR system (iTrent) and MyLearning.

Maintain accurate staff development records, analyse data and produce reports for overall participation, satisfaction, etc.

Following the financial regulations to raise purchase requisitions, track orders and invoices ensuring effective and accurate records to be able to provide a full picture of TCI spend against budget.

Maintain a highly professional and people centred approach, including role modelling the University's values & behaviours.

Provide support for the administration of e-learning.

Where required provide administrative support to other teams, as appropriate.
