The Role

:

We are seeking a highly organized and proactive Talent Operations Coordinator to help manage and streamline our recruitment and HR processes. This role will primarily support our recruitment efforts, coordinate candidate logistics, and ensure a seamless hiring experience. From helping to manage our Applicant Tracking System (ATS) to booking candidate travel and helping to organize recruitment events, you will be instrumental in ensuring our team provides a world class candidate experience. The ideal candidate will be passionate about people, skilled in administrative tasks, and ready to thrive in a fast-paced environment.

Responsibilities

:

Applicant Tracking System (ATS) and HRIS Administration

: Oversee the day-to-day management of Ashby ATS and our HRIS, ensuring candidate profiles are updated, and data is accurately maintained.

Candidate Coordination

: Help to facilitate interviews, manage candidate communications, and ensure an exceptional candidate experience throughout the recruitment process.

Travel & Accommodation Coordination

: Book travel arrangements (flights, trains, accommodation) for candidates attending interviews or assessments.

Event and Social Coordination

: Help plan and execute recruitment events such as career fairs, interview days, and team socials to engage with potential candidates and foster team culture.

Onboarding Support

: Assist with the onboarding process for new hires, ensuring all necessary documents and materials are ready for their first day.

Logistics Management

: Manage recruitment logistics, including posting job openings on relevant job boards and tracking candidate applications.

Process Improvement

: Identify and implement efficiencies in the recruitment process to improve candidate experience and internal workflows.

Expense and Invoice Management

: Handle recruitment-related expenses and track invoices for recruitment activities.

Relationship Building

: Maintain strong relationships with external recruitment agencies and internal stakeholders to support the recruitment process effectively.

Skills & Experience

:

Previous experience in a Talent Coordinator, Data Operations, or similar administrative role. Proficiency in using ATS(preferably Ashby) and other HR tools and software. Exceptional organizational skills with a keen eye for detail. Strong communication skills, both written and verbal. Experience in international travel coordination and event planning is highly desirable. Experience creating reports and working with sensitive HR data. Ability to manage multiple tasks simultaneously in a fast-paced environment. A proactive, self-motivated individual who thrives in a team-oriented culture. A passion for talent acquisition and an interest in working in the AI technology space.
