Job Description


We are looking for an enthusiastic, pro-active and organised administrative Assistant to join our Executive PA team.

The Executive PA team supports Bloomsbury\'s Executive Committee in leading the company across multiple publishing departments - editorial, production, financial, legal and HR. This role will offer essential administrative assistance to the PAs and senior management as they enable the smooth running of the business at the highest level.

This is a superb opportunity to learn the workings of a top 5 UK publishing company and to develop administrative and PA skills in vibrant, fast paced environment.

This role is based in our Bedford Square office.

The role

  • Provide administrative support to the Executive PA team, with day to day ad hoc tasks and assistance during busy periods with hospitality for meetings and events.
  • Provide holiday cover for Executive PA team.
  • Provide assistance to two senior managers, to include:
  • Arranging both internal and external meetings - in-person, virtual and hybrid, sometimes involving different time zones and often with multiple participants;
  • Organising cost and time efficient business travel, hotel bookings, travel itineraries and visa applications;
  • Organising occasional in-person, virtual and hybrid departmental events, including Away Days, departmental gatherings and Christmas lunches;
  • Setting up meeting rooms and co-ordinating food and drinks as required; meeting and greeting visitors and providing refreshments during meetings;
  • Coding credit cards, expenses and invoices, sometimes in different currencies.
  • Respond to ad hoc requests from a range of departments across the organisation.

  • Similar experience of providing administrative assistance to a team

  • Excellent people and communication skills
  • Good written English, spelling and grammar
  • Experience of proofreading and correcting documents
  • Outlook, Word and PowerPoint to a good standard
  • Basic Excel skills
  • Confidentiality and discretion
  • Experience with arranging meetings and conference calls between different time zones and with different technologies
  • Experience of involvement with events and away days desirable
Additional information

The role is a full-time, permanent position.

Salary Pay Point: \xc2\xa327,000

The role is based at our London office 50 Bedford Square, London, WC1B 3DP with an initial commitment of Monday-Thursday office based. Thereafter the role will be on a hybrid working pattern of a minimum 2 days office based, with more office days as required by the week\'s meetings and events, and fully office based if preferred.

As an Assistant role, this position is eligible for Bloomsbury\'s Rental Deposit Loan Scheme. To assist candidates who want to start and to establish a career in publishing, Bloomsbury offers an interest-free rental deposit to support securing somewhere to live. The rental deposit loan can be up to \xc2\xa33,000 and will be paid back over 2 years.
