Dealing with enquiries via various routes of communication (office landline, mobile telephone (whatsapp, text message etc) and email)
Maintain office documents - team spreadsheets, reports, and approved lists
Maintain office stationery, PPE, Welfare / site start supplies
General assistance to RD, RAD and CMs in office
Attend monthly regional and admin staff meetings
General office admin
Provide holiday cover / support other regions where required
Contracts Manager assisting tasks:
Manage online tender portals - highlight any relevant opportunities and action
accordingly where required.
Breakdown and send out tender enquiries to supply chain, download documents
and save to files
Liaise with supply chain to arrange site inspections if required
Receive, save and log tender quotations - chase outstanding quotes where
required
Set up all new projects in FONN (construction project software)
Prepare site start packs - site info boards, welfare pack etc
Obtain Material/Hire quotations and place orders where required
New sub-contractor procurement/sourcing local subbies to price or complete
works
Raise all subcontractor orders and issue subcontractor agreements where
required
Check PSL status of subcontractor prior to issuing their purchase order
Review weekly live hire reports and raise any queries or damage notifications,
advise line manager of any discrepancies
Producing O&M manuals for project on completion of projects
Be responsible for regional labour availability spreadsheets
Ensure office spreadsheets are kept up to date
Produce Regional construction programmes for weekly issue
Produce regional reports when required, obtain relevant info from regional CMs
Site Manager tasks:
Point of contact for regional site managers for requesting and chasing orders/
deliveries.
Liaise with site managers and carry out hiring/ off hiring of plant, materials and
small tools
Experience:
Relevant experience in construction related admin.
Computer/technology literate incl MS word, excel, project.
Confident working in a fast paced environment.
Appropriate phone manner and used to / confident dealing with clients and supply
chain.
Proactive and organised.
Ideally local to office - within 30 minute commute.
