Team Administrator Conveyancing (part Time)

Job Description

We are looking for a Team Administrator on a part-time basis to join our Residential Conveyancing team based at our Shirley office in Solihull.

This position will primarily focus on managing overflow administrative tasks to ensure the department operates smoothly and efficiently.

Key tasks of the role include:



Scanning and filing all correspondence into the case management system. Typing, preparing, and formatting correspondence, legal documents, and forms. Opening, updating, and closing matter files accurately. Recording and maintaining client data in compliance with data protection regulations. Handling identification documents and ensuring Anti-Money Laundering (AML) procedures are efficiently followed. Preparing and dispatching mail and enclosures. Answering and managing telephone calls, taking accurate messages, and relaying them promptly to the relevant fee earner. Scheduling appointments, arranging meetings, and maintaining up-to-date diaries for fee earners. Providing clients with timely and efficient updates throughout the transaction process. Preparing contract efficiency packs. Ordering redemption statements. Exchanging contracts and organising completions. Preparing bills and financial documentation for clients.

What we're looking for:



Minimum 1-2 years of administration experience within the Residential Conveyancing. Strong organisational skills with the ability to manage multiple tasks and priorities effectively. Ability to work collaboratively within a team, ensuring seamless task-sharing and handovers. Proficient in IT systems, with the ability to adapt quickly; experience with Tikit and BigHand is desirable but not essential. Proactive, self-motivated, and detail-oriented. Excellent written and verbal communication skills with a client-focused approach. Proven ability to meet deadlines and achieve targets in a fast-paced legal environment.
We are offering a salary of up to 23,149 per annum, based on full-time hours. The actual salary will be pro-rated according to part-time hours and dependent on experience, alongside the following benefits:
