Purpose of job:



Lead, manage and motivate Soft FM operational staff to provide a quality customer focused service to the academic and residential estate. Principal focus on portering duties. Ensuring that Soft FM Services are delivered and maintained to the highest standards. Accurate completion of departmental statutory paperwork. Implement all relevant health and safety legislation.

The main duties of the post will include:



The duties of the post, some of which will require physical effort such as standing for long periods, walking distances, climbing stairs, bending, stretching and lifting, pushing and pulling and using cleaning and maintenance equipment and driving university transport, will include the following:

Staff Management



Leading, managing and motivating a team of Soft FM operational staff. This will include organisation and supervision of work. Conduct performance reviews, training and development, sickness and annual leave management, ensuring that staff achieve the necessary standard of performance, taking corrective action as appropriate. To be fully conversant with Health & Safety Legislation, ensuring that operational staff follow Health and Safety guidelines at all times particularly; C.O.S.H.H. (Control of Substances Hazardous to Health), P.P.E. (Personal Protective Equipment), Working at Heights, Kinetic Manual Handling, Methods of Work and Risk Assessments. Complying with the requirements of Data Protection by ensuring confidentiality when dealing with staff or keeping staff records. Providing cover for other Soft FM Services Supervisors during periods of holidays or sickness absence.

Resource Management and Administration



Organising daily schedules of work for operational staff, utilising relevant university computer systems as necessary and taking into account the premises cleaning policy, University key events and the staff available on the day. Assisting with some operational duties in exceptional circumstances. Completing work instructions for faults and repairs and facilitating work requests using the electronic reporting system. Carrying out stock checks of cleaning materials, furniture and equipment, submitting order requests to the Team Clean Managers and ensuring stock levels are maintained within departmental guidelines. Issuing and collecting staff master keys/cards as required. Ensuring all legislative requirements relating to Health and Safety are implemented as directed by the Training and Compliance Manager. Ensuring staff undertake all statuary health and safety checks, completing audits and maintaining accurate records. Undertaking routine inspections, including those for cleaning quality, bedroom inspections, repairs and maintenance and vehicle and equipment safety. Overseeing the day to day use of departmental vehicles and maintain accurate records.

Customer Service



Ensuring that the academic and residential estate is prepared for occupation and key events are serviced to required standards. Liaising with Management, Soft FM Supervisors and Operational Staff to deliver a seamless quality service to customers. Communicate with other university departments, facilitating work requests and collaborating with colleagues to enable customer queries to be resolved. Proactively advise of future work to maintain customer satisfaction.

Other



Ability to work autonomously on a day to day basis, under the management of the Team Clean Managers. Flexibility in relation to university key events, such as arrival and departure days, visit days, graduation, summer conference season, waste collection over the Christmas period, snow and ice call out requirements; this list is not exhaustive but gives an indication of university events. Requirement to participate in an out of hours call rota, this would be one week in twelve as a maximum.

Qualification/Training

GCSE Grade C or equivalent in English and Mathematics - Essential A relevant qualification in Customer Service provision - Desirable Current ECDL qualification - Desirable Level 3 NVQ in Management - Desirable IOSH Certificate - Desirable

Experience/Knowledge

Experience of managing a team(s) of semi-skilled staff in a customer focused environment - Essential Experience of working in a customer focussed environment - Essential Knowledge of Health and Safety legislation relating to cleaning materials and working practises - Essential Experience of working in a multi-cultural environment - Desirable Previous commercial cleaning experience - Desirable Experience of conducting quality inspections and documenting findings - Essential

Department



Soft FM Services are responsible for cleaning and portering services to the university's academic, administrative and residential estate. Soft FM facilitates all university key events, such as graduation and open days and ensures areas are prepared for other events such as receptions and summer conferences.

General Information



Appointment to this post will be made on a permanent, full time (38 hours per week) basis to be worked as required within the working operational window (5.30am - 8.00pm, Monday to Friday and 5:30 - 2pm Saturday and Sunday, 5 days in 7 days). The current working pattern is 8.30am to 5pm Monday to Friday. In the interests of working efficiency UECS may from time-to-time review current working patterns. Hours may be required to be worked within the operational window of 5.30am to 8pm, 5 days in 7 days. Changes to working patterns resulting from this will be subject to a minimum of 21 calendar days' notice. Although there is no regular overtime built into this post, the post holder shall be expected to work when required, particularly when the University is preparing for special functions.
