We have an exciting opportunity for you to join our Outpatients Department as a Team Leader, where you'll play a key role in ensuring the smooth and efficient running of our administrative services.
In this role, you'll lead and support a team of Booking Clerks and Administrators, managing the day-to-day operations of the service -- including rostering, workload management, and performance discussions. You'll be responsible for ensuring that your team provides a professional, patient-focused service that reflects the Trust's values.
You will also take ownership of investigating complaints, addressing performance issues, and handling disciplinary matters with fairness and professionalism, always in line with Trust policies and procedures.
This is a varied and rewarding position that requires strong leadership, excellent communication skills, and the ability to work autonomously. You'll be confident in managing your own workload, prioritising effectively, and escalating concerns appropriately to your manager when required.

Manage the day to day functions of the department
Coordinate and authorise rotas
Conduct performance appraisals and review personal development plans
Excellent knowledge of the Trust systems and Contact Centre Systems including: Electronic Patient Record (EPR, Electronic Referral System (ERS) and Electronic Medical Record (EMR)
Oversee that new appointments are booked in chronological order and liaise with Service Unit Managers and Clinicians when capacity is not available
Ensure all clinic capacity is fully utilised and within the Trust Waiting Policy
Monitor outpatient waiting times and patient tracking lists
Hold team meetings and deliver relevant messages
Liaise with Consultants, GPs, medical and nursing staff as required
Develop monitoring and reporting procedures, including KPIs
Develop a service strategy and standard handbooks
Ensure all team members have up to date training and access to progression opportunities
Initiate and act upon disciplinary actions as required
Investigate complaints, liaising with HR as required
Maintain up to date personnel files across the team
Lead in the recruitment and selection of new team members
Complete risk assessments and workplace monitoring requirements
