Offshore Helicopter Services has a vacancy for a Technical Administrator. The role involves providing comprehensive administrative support to the Technical Department across both Part 145 and Part M organisations, ensuring smooth and efficient operations. The Technical Administrator role also includes assisting with financial budgetary tracking, reporting, and analysis related to technical operations. This position requires strong organisational skills, proficiency in Microsoft Office applications, and the ability to manage multiple tasks as directed by the Technical Director.
Administration
:
Provide administration support for both the CAMO and Part 145 organisations
Be the focal point for all administrative queries from the Engineering team members
Create, maintain and update the Engineering Roster for both Line and Base Maintenance
Collate, review, and submit Technical Dept monthly overtime figures
Organisation and support of technical recruitment and coordination of staff inductions
Logistical - weekly bookings of chartered flights and hotels for engineers
Arranging Departmental Meetings, including the taking and production of minutes when required
Assist with control, review, and update of the MOE (Maintenance Organisation Exposition), including any related controlled documents as directed by Part 145 Nominated Person
Review, update and distribute the Weekly Duty Roster
Assist with identifying, creating, reviewing and updating Technical Risk Assessments and ensuring these are recorded and replaced within the relevant area
Act as the key point of contact within the technical department for work experience placements from schools, colleges and universities
Provide additional budgetary support to the finance department with regards to collating of reports on departmental spend
Other General Admin Duties as required
Training Co-Ordination
:
Maintain accurate training records, Qualifications, Licenses, Authorisation and Competency Assessments on company's training database (Air Maestro), ensuring all records are updated, compliant and readily available for auditing
Co-ordination of Staff Training (initial and recurrent both internally and externally) sourcing specific courses as required, booking courses, raising Purchase Orders, informing attendees
Complete regular gap analysis for training across Engineering departments
Identifying and sourcing room requests for both internal and external training
Engineering Apprentice Programme
:
Coordination of the Engineering Apprentice Programme
Co-ordinating short-list, communicate progress to apprentices and arranging Aptitude Tests for all potential apprentices
Liaise with Training Providers within the UK for SVQ and EASA elements of Apprenticeship
Liaise with Current Apprentices with regard their training and ensuring they are on track, ensuring to highlight any issues to Senior Management
Recording of Exam results and reviewing additional training support where required
Creating suitable in house and third-party training programmes for any further exams
Dedicated time in place for regular meetings with all apprentices to review and discuss progress
Provide guidance and feedback
Ensure accurate file retention of all personnel professional documentation is securely stored as per OHS requirements
Supporting the Senior Management Team as appropriate, completing specific focused tasks, to support the continuing improvement in operational excellence and the long-term Company strategy
Any other delegated responsibilities as instructed by Line Management within the timeframe specified, in a safe and efficient manner to meet business requirements, provided the instruction is reasonable and you are capable and deemed competent to fulfil these

Understand aviation maintenance environments (Part 145 and Part M)

Preferred:
Experience with creating, revising and communication of risk assessments
Confident in precise record keeping and document control
Experience in Recruitment Practices, including sourcing, screening, and interviewing candidates
