The role of the Technical Assistant is to facilitate all customer complaints, distribute technical KPIs weekly and monthly, complete all customer questionnaires, deal with all purchase orders, stationary requirements, administration of intake paperwork and any miscellaneous duties as required within the administration function.
Key Accountabilities
Complaints
Log all customer complaints. Acknowledge receipt of complaints within 24 hours. Forward all serious complaints to Quality Managers/ Technical Manager immediately to investigate. Prepare customer response and aim to respond within 5 working days.
Create weekly complaints analysis and summary and send those to all relevant people.
Lead the complaints department meetings.
Halls Enquiry website and calls. Log and respond to Halls of Scotland complaints
KPI
Generate complaints KPI and complaints graph for weekly/monthly KPI reports.
Generate KPI graphs for monthly KPI reports
Print and display technical KPIs graphs monthly on the notice board
Micro and chemistry
Log all micro results. Raise non-conformance for fail results to be investigation. Forward all serious micro/chemistry failures to the Quality Manager/ Technical Manager immediately for investigation
Trend micro results and communicate with relevant personnel.
Logging micro and chemistry samples to the lab.
Questionnaires
Complete Customer Questionnaires in a timely manner - target 10 working days.
Intakes
Enter seasoning and packaging intakes onto spreadsheet. E-mail suppliers for seasoning and rusk certificate of analysis and add to pack. Achieve at the end of the month.
Miscellaneous
Adhoc administration duties.
Support to technical and site teams during visits and audits.
Support and ensuring any document changes are logged in.
Recording meeting minutes and ensuring actions are distributed and closed off.
Ordering technical supplies e.g. swabs, test bottle
Food Technologist
Provide holiday and absence cover for Food Technologist, duties include creation of specifications, product labels, generation of barcodes, artwork approval, product file creation, assisting Technical and NPD teams during trials and launches.
