Technical Event Coordinator

Location: Admin: Remote | Warehouse: West Yorkshire | Project Delivery: Mainly UK/ Europe (Occasionally globally)

As we continue to grow, we are looking for a dynamic, results-driven Technical Event Coordinator to join our team. This role will play a critical part in supporting the events team to manage client projects and ensuring seamless event delivery.

As a Technical Event Coordinator at Fresh Productions, you will assist in the planning, execution, and delivery of events and audio-visual projects. You will work in a hybrid model, with your base being in West Yorkshire, and remote work for admin tasks.

You will be responsible for preparing and maintaining audio visual equipment and the storage facility, ensuring all equipment is in optimal working condition and ready for use at any time. Proper inventory management and organisation of the storage facility is crucial to the smooth execution of events.

Your responsibilities will include supporting the wider team, coordinating project activities, and ensuring effective communication among team members and clients and freelancers.

Key Responsibilities:

Technical Project Management:

Assist in the planning, management, and execution of projects from conception to completion, including overseeing all technical aspects of events such as AV setup, lighting, sound, staging, and live streaming. Support the pre- production team to help develop project timelines, budgets, and resource plans, ensuring that all technical elements are delivered on time and within budget. Act as a point of contact throughout the process for clients, managing expectations, providing technical expertise, and troubleshooting any issues during the event. When required, attend site visits, and oversee on-site technical setups across Europe. Facilitate effective communication and collaboration among project team members, stakeholders, and clients. Coordinate on-site activities for project delivery and preparation, ensuring all necessary resources and logistics are in place. Monitor project performance and provide regular updates to senior consultants and stakeholders.

Client Management:

Assist in managing client relationships, ensuring their needs are met and addressing any issues or concerns promptly while providing exceptional service and value. Attend client meetings from a technical point of view, ensuring all production requirements are captured and communicated clearly to the team. Serve as a trusted advisor to clients, providing technical expertise and recommendations to enhance event outcomes with the support of the technical solution consultant. Develop strong client relationships, ensuring repeat business and client retention. Deliver post-event debriefs and feedback reports to assess outcomes and identify improvement areas.

Technical Expertise:

Provide clients with expert guidance on technical solutions for their projects, ensuring innovative production quality and thinking creatively to make each project different. Lead technical projects, ensuring successful delivery and client satisfaction. Be an active part of the technical team on-site, collaborating with team members to achieve project goals. Conduct technical site visits and provide recommendations to clients on best practices and solutions. Prepare and maintain production equipment, ensuring all equipment is in optimal working condition for project delivery. Provide expertise in audio-visual solutions, including setup, configuration, and maintenance of AV equipment for events and projects. Create quotes and write proposals for audio-visual solutions, ensuring they meet client requirements and are competitively priced. Stay up to date with the latest event production technologies, trends, and best practices within the event industry. Manage supplier relationships and ensure high-quality equipment and services are provided while also negotiating the best rates.

Required Skills & Experience:

Proven experience as Senior Event Technician, Project Manager, or similar role within the event industry, preferably with a focus on the IT channel. Strong technical knowledge of AV systems, lighting, sound, live streaming, exhibition, and video production. Experience in managing complex events & projects from start to finish. Excellent people skills, with the ability to build long-term relationships. Exceptional organisational and time management abilities, with a keen attention to detail. Strong organisational, problem-solving, and time management skills with the ability to handle multiple projects simultaneously. Excellent communication skills, both written and verbal. Proficiency in project management software and rental management software. Willingness to travel across Europe/globally to deliver events, including attending site visits, overseeing setups, and managing events on-site.
