identifying, contacting, and securing venues
for our events, as well as
supporting the planning and coordination
of those events.
This is a full-time role for someone who is

Key Responsibilities
Venue Outreach & Acquisition
Research and identify suitable venues for our events across Italy and Italian-speaking regions.
Contact venues by
phone and email
to present our event concept, discuss requirements and negotiate terms.
Build and maintain strong relationships with venue managers and local partners.
Follow up with venues to secure
bookings and signed venue agreements

Event Coordination & Support
Assist with the
management, logistics, and organisation
of events (schedules, supplier coordination, on-site requirements).
Coordinate with internal teams (operations, technical, marketing) to ensure all venue-related information is accurate and up to date.
Support the preparation of
event documentation
, including timelines, contact lists, and checklists.
Help resolve venue-related issues before and during events, in coordination with the senior event team.
Communication & Administration
Draft and send professional
emails, proposals and follow-ups
to venues and partners.
Maintain detailed records of venue outreach, responses, and agreements in our internal systems.
Attend internal meetings and provide regular updates on venue outreach progress.
Requirements
Essential:
Fluent Italian
(native or near-native level).
Very good English
(spoken and written).
Excellent
communication skills
- confident on the phone and clear, professional writing style.
Strong
organisational and time-management skills
, with the ability to manage multiple venue conversations at once.
Comfortable using email, spreadsheets and basic online tools (e.g. CRM systems, Google Workspace / Microsoft Office).
Proactive, reliable, and able to work independently as well as within a team.
Desirable:
Additional languages (e.g. Spanish, German, French) are a
strong advantage

Previous experience in
events, hospitality, venue sales, or account management
.
Experience negotiating with venues, suppliers, or partners.
