The Tenancy Manager is the central link between residents, operations, and performance at LIVINGWAY.
Based at head office, this role ensures that every tenancy, from initial application to renewal, is handled with care, precision, and the trademark LIVINGWAY experience.
You'll manage the full tenancy lifecycle across multiple Build-to-Rent buildings, ensuring every detail is right, every communication is clear, and every resident feels valued.

Team Structure Overview
Reports to the Head of Sales and Lettings and works closely with the Accounts, and Marketing teams. Liaises regularly with on-site Community Managers and Resident Liaisons to ensure smooth tenancy coordination across all buildings.

Purpose of the Role
To manage and oversee the complete tenancy administration process across the LIVINGWAY portfolio from head office. This includes processing new applications, issuing tenancy agreements, managing deposits, coordinating renewals, and ensuring compliance with company policies and legal standards.
You will play a key part in ensuring a smooth, transparent, and premium resident journey from enquiry to renewal.
Key Responsibilities
Tenancy Administration
Prepare and issue tenancy agreements, addendums, and renewals in line with company policy.
Process applications through Yardi CRM, ensuring all data is accurate and up to date.
Coordinate referencing, right-to-rent checks, and deposit protection.
Issue move-in packs, welcome communications, and check-in documentation.
Resident Communication & Experience
Act as the central contact for tenancy-related enquiries, providing timely and professional responses.
Ensure all communications reflect LIVINGWAY's tone of voice, friendly, clear, and solution-focused.
Support on-site teams by managing key tenancy documentation and updates on behalf of residents.
Work collaboratively with marketing and operations to deliver a consistent pre-move-in experience.
Renewals & Rent Reviews
Track upcoming renewals and liaise with site teams to agree renewal offers.
Issue renewal documents, rent review letters, and confirmation notices in line with set timelines.
Maintain detailed renewal records and report on retention performance.
Compliance & Data Management
Ensure all tenancy files meet legal and audit requirements.
Oversee deposit registration and end-of-tenancy release in line with TDS/REPOSIT
Maintain Yardi tenancy data integrity across all properties.
Support compliance reporting, including, EICR and EPC tracking.
Experience & Skills
Experience in tenancy management, lettings coordination, or property administration
Strong understanding of UK tenancy law, deposit protection, and right-to-rent requirements
Excellent organisational and communication skills
Proficient in CRM and property management software (Yardi experience ideal)
Detail-oriented with strong follow-up and problem-solving ability
Team player with a positive, professional, and people-first attitude
