About The Role





The Tenancy Progressor is an essential role within our Residential Lettings division, responsible for managing the administrative aspects of tenancy progression. This role is designed for individuals with a keen eye for detail and the ability to handle multiple tasks efficiently. The Tenancy Progressor ensures that all tenancy agreements and related documentation are processed accurately and in a timely manner.

The successful candidate will be flexible, confident, self-motivated, organised, and pro-active with good computing skills and excellent administration skills. This role requires an individual with the ability to communicate and deal with others at all levels in a polite, professional, friendly, and helpful manner, both face to face and over the telephone.

Experience required:



2+ years' experience in a Lettings role ARLA Level 2 qualification completed or working towards Proven track record of managing high volumes of work and complex client requirements

Operational Efficiency:



Manage high volumes of work to ensure smooth scaling of workload. Verify data quality and compliance of work received. Carry out due diligence checks on tenants, occupiers, and other relevant persons prior to the start of the tenancy. Draw up tenancy agreements and produce letters and emails. Set up rents and charges, produce initial invoices, and trace funds received. Communicate with internal teams, landlords, tenants, occupiers, and other relevant persons. Arrange inventory and check-in processes. Assist with queries from tenants, landlords, and relevant persons on tenancy paperwork. Request and collect references and guide tenants through the referencing process. Arrange Right to Rent checks and register deposits under the Tenancy Deposit Scheme. Work with internal teams to support new tenancies, including tenant changeovers, landlord changeovers, addendums, and deeds of surrender. Maintain organization of important documents and files. Work to tight deadlines to move in prospective tenants while under pressure. Provide prescribed information to all tenants and relevant persons prior to the start of the tenancy. Record smoke alarm confirmation on the first day of tenancy and send safety certificates to all tenants and occupiers.

Client Management:



Engage key clients with unique requirements to deliver tailored solutions and strengthen relationships. Deal with larger clients and adapt to their processes. Assist team members and internal teams with complex queries. Check and assist with drafting special clauses.

Expert Knowledge:



Offer advanced insights to address complex challenges and deliver unparalleled advice to clients. Navigate intricate legal and compliance risks to ensure contracts are beneficial and risk-averse. Display knowledge and ensure compliance with best practices and current legislation relating to the lettings industry.

Support and Collaboration:



Provide expert guidance to colleagues to foster professional development and elevate team performance. Champion the customer experience and assist with the implementation of customer experience initiatives. Communicate and deal with internal and external customers at all levels in a polite, professional, friendly, and helpful manner.

Information Security:



Liaise with and raise security incidents or weaknesses with the Security Analyst. Display knowledge of GDPR regulations and handle sensitive information following data protection guidelines.

Pay: 26,000.00-30,000.00 per year
