Job Description

Overview


We are seeking a dedicated and knowledgeable Training Administrator to join our team. The ideal candidate will provide high-quality administrative support to ensure the smooth operation of Training and Adult and Community Learning (ACL) processes, course delivery, and learner administration.

This post will report to the Senior Training Administrator.

Key responsibilities



Processing Enrolments and Registers:


Accurately process ACL enrolment forms, maintain learner registers, and ensure all records are complete and compliant with data protection and funding requirements.

Managing Claims and Data Records:


Update and maintain claim spreadsheets to support the monitoring and reporting of course activity, funding claims, and learner progress.

Updating Referral and Interest Records:


Record and update referral spreadsheets based on course interest forms and event feedback to ensure that all potential learners are tracked and followed up appropriately.

Learner Communication and Course Bookings:


Contact individuals by phone and email on waiting lists to provide course information, confirm interest, and book them onto appropriate programmes, ensuring a positive and efficient learner experience.

Course Paperwork and Awarding Body Administration:


Process course-related documentation, including attendance sheets, assessment evidence, and certification forms, and upload required materials to management information systems and awarding body portals within set deadlines.

Additional Expectations



Maintain confidentiality and accuracy in all learner and course data. Liaise effectively with tutors, coordinators, and external partners to support course administration. Contribute to continuous improvement of administrative systems and procedures. Ensure compliance with funding and awarding body audit requirements.

Other Duties



Ensure compliance with the Organisation's Health & Safety Policy and other established policies and procedures, ensuring good health and safety management for activities.

Be responsible for any equipment used including cleaning and maintenance.

Prioritise own workload and show own initiative to ensure that deadlines are met, and tasks are carried out effectively.

Any other reasonable duties as may be requested by your line manager.

Requirements



No qualifications required, other than work based experience. Experience in general administration and clerical duties. Excellent IT Skills Experience of working within a team. Ability to engage and work with people at all levels, in a variety of organisations with an approachable and positive outlook. Good organisational skills. Exceptional attention to details Ability to meet set targets and deadlines. Excellent written and verbal communication skills. Confident telephone manner in making and answering calls Ability to work with individuals at a variety of levels, internally and externally and in a range of organisations.
Job Types: Part-time, Permanent

Pay: 14,285.70 per year

Expected hours: 22.5 per week
