Job Overview
Colour Clad Profiles Ltd is looking for a proactive, organised Transport Administrator to support our busy logistics and office team. This role is all about keeping deliveries running smoothly, speaking with customers daily, and making sure people are kept informed if anything changes. You'll be booking in deliveries, liaising with drivers and the yard, handling delivery paperwork, and dealing with customer queries quickly and professionally.
We supply roofing and cladding products across the UK, so you'll be comfortable coordinating deliveries to building sites, trade counters, yards and residential addresses, often with specific access requirements and time windows.
Key Responsibilities
Call customers to book in deliveries, confirm site requirements (access, offload method, restricted times, contact on site), and agree suitable delivery slots.
Keep customers updated with accurate delivery information, including delays, ETA changes, and rebooking where needed.
Build and manage daily/weekly delivery schedules using our systems, ensuring efficient route planning and realistic timings.
Liaise with drivers, transport planning, and the yard team to ensure orders are picked, loaded and dispatched correctly.
Handle general office admin linked to transport, including delivery notes, PODs, order notes, and customer communication logs.
Respond to delivery enquiries by phone and email and resolve issues quickly (late deliveries, failed drops, damaged goods, short deliveries).
Coordinate solutions when problems arise, including rebooks, replacement deliveries, collection arrangements, and internal updates to sales/admin teams.
Maintain accurate records in our system, including customer notes, delivery status, and any delivery-related costs or non-conformances.
Spot recurring issues (access problems, common delays, repeat delivery failures) and suggest practical improvements.
Requirements
Experience in a transport, logistics, scheduling, customer service, or busy office admin role (delivery booking-in experience is a strong advantage).
Confident on the phone, comfortable making outbound calls and handling customer expectations in a trade environment.
Strong admin skills, accurate data entry, and attention to detail, especially when dealing with delivery instructions and order details.
Good IT skills, confident with Excel and internal systems, experience with ERP/transport systems helpful but not essential.
Calm, organised, and able to manage multiple priorities when the phones are busy and schedules change.
Clear communication style, able to coordinate between customers, drivers, and warehouse/yard teams.
A practical problem-solver who takes ownership and follows issues through to completion.
What This Role Looks Like Day-to-Day
Booking deliveries in with customers and sites, then confirming instructions internally.
Keeping the schedule tight and realistic while juggling last-minute changes.
Taking delivery queries and sorting them properly, rather than letting problems drift.
Making sure customers feel informed and looked after, even when there's a delay.
