Purpose
To provide efficient and compliant administrative support to the transport department, ensuring accurate documentation, effective communication across teams, and smooth daily operations.
Role and Responsibilities
Transport Administration
:
Maintain accurate records for vehicle compliance , including delivery notes, vehicle logs.
Update and maintain transport management systems (TMS) with accurate and timely data.
Communicate effectively with customers, drivers, and the transport team to resolve queries and ensure smooth operations.
Assist with scheduling and coordinating vehicle maintenance and inspections.
Answer telephone, deal with customers and clients using OPS plan information, deal with driver queries where necessary.
To produce invoices from Sales spreadsheet/POD's for clients/ customers, deal with invoices from suppliers and create PO's for payment by Finance Dept.
Liaise with finance Dept., re- queries and charges to the account.
Check that HGV drivers digital cards info is correct and liaise with Payroll re hours/absences where required.
Ensure all documentation is complete and filed securely, keep up to date files for all vehicles and ensure all are legal and compliant and regularly serviced/taxed/insured.
Rental vehicles must be compliant and rental agreement adhered to.
Assist in the management of tachograph infringement reports and escalate as required on the DCRS policy.
Role Requirements
Experience in transport/logistics administration (preferred)
Working knowledge of transport compliance, vehicle records, and driver hours (desirable)
Strong IT skills, including Microsoft Office (Excel, Word, Outlook)
Confident working with transport management software (TMS)
Excellent written and verbal communication skills
Ability to prioritise workload, multitask and meet deadlines in a fast-paced environment
Help with accreditation and compliance work, General office duties/filing/cleaning if required
Provide Holiday/Absence cover
