We are currently seeking a highly organised and detail-driven Transport Administrator to support the efficient day-to-day running of our Transport Department. The successful candidate will play a key role in maintaining transport documentation, coordinating driver and vehicle activities, supporting compliance requirements, and ensuring smooth communication across operational teams. This is a fast-paced, hands-on administrative role requiring accuracy, strong communication skills, and the ability to prioritise effectively within a dynamic transport environment.

Key Responsibilities



Administrative Support



Provide comprehensive administrative assistance to the Transport Managers and wider transport team. Prepare, manage, and file all transport-related documentation such as delivery schedules, driver paperwork, vehicle inspection reports, route sheets, PODs, and incident logs. Maintain accurate records of fleet activity, driver hours, maintenance schedules, and compliance deadlines.

Communication & Coordination



Act as a central point of contact between drivers, planners, warehouse teams, and external partners. Respond promptly and professionally to enquiries from internal departments, customers, and transport service providers. Coordinate daily driver briefs and debriefs, ensuring accurate handover of route and load information. Support the scheduling of transport meetings, training sessions, and operational briefings.

Data Entry & System Management



Accurately input transport data into internal systems including TMS (Transport Management System), telematics platforms, and Microsoft Office tools. Generate departmental reports, including KPI dashboards, route performance summaries, fuel usage, and compliance updates. Assist with updating SOPs, vehicle check documentation, and standard transport processes.

Compliance & Confidentiality



Ensure all administrative processes meet regulatory and company standards, including Working Time Directive, Driver Hours, DVSA, and company transport policies. Handle confidential driver and operational information with the highest level of professionalism. Support audit preparation by collating records, ensuring document accuracy, and maintaining full compliance trails.

Continuous Improvement



Identify opportunities to improve transport administrative processes, documentation flow, and system efficiency. Assist with departmental projects, such as route optimisation initiatives, fleet upgrades, or process reviews. Support implementation of new transport systems, software updates, and operational changes.

Key Skills



Proven administrative or coordination experience, ideally within a transport, logistics, or fleet-based environment. Proficiency in Microsoft Office (Excel, Word, Outlook). Excellent organisational skills and high attention to detail. Strong written and verbal communication skills. Ability to prioritise tasks effectively in a time-sensitive environment. Positive, proactive attitude and strong team-working approach.

Desirable



Working knowledge of transport operations, TMS platforms, or fleet/driver documentation. Experience within logistics, FMCG, transport planning, or a regulated transport environment. Familiarity with tachograph regulations, vehicle compliance, or telematics systems

Pay: Up to 27,000.00 per year
