Purpose of the role:



To support the importation of vehicles from the Terberg Group factory in Holland and other suppliers as necessary. To manage and support the delivery, and collection of new and used special vehicles to customers worldwide. Supporting the team in ensuring the fleet and drivers remain compliant in line with regulations, DVSA guidance and company policy. To provide efficient customer service and build relationships with both internal and external customers. To organise vehicle movements, maximising the use of our internal & third party fleets. Complete and deliver weekly/monthly reports to document departmental progress as necessary.

Responsibilities



Build and maintain a high level understanding of the Special Vehicles fleet and specifications. Build effective working relationships with key internal and external customers to understand current and future needs. Ensure customer enquiries (phone/email) are professionally and proactively managed, and/or escalated to wider teams. Engage with suppliers ensuring that all required administration is completed on time, to guarantee the smooth transportation of vehicles: Create accurate purchase orders. Compile accurate quotations internally/externally for transport movements. Arranging mutually convenient date and times for vehicle delivery. Arrange and complete delivery paperwork and compliance documents. Check goods/quantity received as per order. Updating transport & delivery schedule accordingly. Organise ferry movements as required. Liaise with internal transport to ensure high level of productivity. Undertake purchase administration of non-factory vehicles as required
To prepare all customer administration accurately and in line with set processes and procedures, including:

Check customer order confirmations and ensure vehicle specifications are amended with the factory/workshop accordingly (scope of works). Liaise with Accounts to ensure that new customer accounts are setup in a timely manner. Create accurate invoices for new and used equipment accordingly. Agree delivery schedules and familiarisation training (where relevant) with customer. Ensure customer management system records up to date with all customer engagements. Proactively follow up with customers to ensure everything is as expected/required with issues resolved or escalated in a timely manner.
Road registration of all vehicles.

To be responsible for maintaining accurate storage of all customer data and vehicle information, including manual/electronic files and relevant systems updated (LIST, VPS and Super Office). To support in the organisation of special vehicle demonstrations with existing, new and potential customers. Co-ordinate and proactively engage with wider internal departments for collaborative working. To be responsible for compiling weekly/monthly reports in relation to KPI's. o Assign new vehicles within Terberg Connect. Monitor and proactively manage work in progress (WIP). To provide support to the wider sales team. To undertake projects as and when required to support the need of the business or to achieve departmental objectives. Analyse vehicle optimisation and assign loads to HGV capacity in compliance with H&S regulations. Re-plan loads when necessary due to delays, equipment failure or driver issues.

Critical Knowledge

Required:

Knowledge of Special vehicles, specifications and additional features. Strong working knowledge of Microsoft Office packages, especially Outlook, Work, Excel, Teams.
Desired Knowledge:

Knowledge of HGV driver planning, legislation & guidelines. Strong geographical understanding.

Pay: 27,000.00-30,000.00 per year
