This role presents an exciting opportunity to join our?Travel Operations team. Reporting into the Senior Travel Operations Manager, this new, dynamic role will support our busy travel operations team with administrative tasks and will have the unique opportunity to run and support projects to drive operational efficiency as we grow.
This will be a pivotal role in the team and our ability to deliver a seamless experience for our clients. You will be self-motivated and proactive, efficient and driven by a desire to improve the status quo. Importantly, you will have a positive 'can-do' attitude, be a supportive team player and contribute to our positive company culture.
This role requires a high level of organisation, attention to detail, and an ability to multitask and work well under pressure. Travel experience is desirable, however a passion for travel is essential.
Key responsibilities include:
Supporting the Senior Travel Operations Manager and Travel Operations Team with day to day operational tasks
Supporting the Senior Travel Operation Manager and Travel Operations team with the coordination and management of tasks and packages of work for all operational improvement project work within the Travel Operations department
Management of our team email account, including responding to emails and the correct filing and distribution of emails.
Being our 'travel concierge' and key point of contact for clients who are on their trips during working hours, managing queries, bookings and any concerns they may have.
Assisting with client travel bookings to support the operations team, especially during peak periods.
Administering the operational management data and reporting and ensuring any issues are brought to the attention of the team.
Updating relevant data and reporting to highlight our progress towards our operational team targets for use in team and management reporting.
Entering data from a variety of formats into our in-house systems including Peak 15, Monday.com, Excel and Sage Accounting System.
Creating, updating and managing our supplier management database (including hotels), ensuring that any contracts, supplier agreements and required operational documentation and reporting are up to date.
Managing and improving our operational virtual filing system and ensuring all documentation is scanned and filed correctly
Undertaking all final hotel checks prior to the commencement of each client's trip.
Checking, printing and packing final travel documents and itineraries for clients
Arranging outgoing couriers and post ensuring all deadlines are met
Managing the collation and learning from our customer feedback and responding to any concerns
Assist Finance manager with entering data onto SAGE and other systems as requested
Working alongside the rest of the operations team to ensure our standard operations procedure (SOP) is documented and kept up to date.
Managing and ordering of travel books and welcome gifts for clients
To be on call as part of an agreed duty rota to cover out of hours and weekends when our clients are travelling (additional payment).
